At Bill’s, our mission is simple: Everyone Leaves Happy. As Reservations Optimisation & Systems Manager, you will be the leader of Bill’s Central Reservations systems and processes, ensuring our booking platforms are optimised, reliable and commercially effective, supporting revenue growth and operational delivery. All these processes should support our focus on ensuring both a seamless, and unmistakably Bill's, guest experience.
We are looking for a subject‑matter expert on reservations technology, owning system configuration, optimisation and performance across platforms including OpenTable, OrderPay and website integration including TLC built platforms. An ability to translate data and insight into system improvements will be vital, ensuring availability, capacity and booking rules are set up to maximise conversion while protecting and improving guest experience on all booking platforms.
As a part of the reservations team, this role will occasionally require weekend working on a rolling basis to ensure essential communications and the Chatbot are looked after during peak restaurant hours. This role will also take responsibility for three of the Reservations Team, managing them and taking responsibility for their training and goals, wellbeing, and progression.
What we need from you:
- Own the end‑to‑end operation of central reservations systems, ensuring they support commercial goals, guest experience and operational delivery.
- Manage and optimise the booking journey, identifying improvements through system updates, integrations, APIs and automation.
- Configure and maintain reservation platforms including OpenTable across all sites (availability, turn times, flows, experiences and booking rules).
- Analyse capacity and missed booking opportunities, implementing configuration changes to maximise utilisation and conversion.
- Own system configuration for payments and set menu functionality including OrderPay and Set Menu Manager.
- Monitor reservations performance and KPIs, providing insight‑led reporting to support commercial and marketing decisions.
- Ensure booking data accuracy and system integrity across all reservations platforms and integrations.
- Develop and maintain SOPs, documentation and training frameworks for reservations systems.
- Lead reservations‑related projects, including new site setups, integrations and platform improvements.
- Act as the escalation point for system issues, managing incident resolution and communicating impacts to stakeholders.
Key Attributes:
- CURIOUS: Naturally inquisitive and data‑driven, always exploring how systems, configuration and insight can improve booking performance and guest experience.
- COURAGEOUS: Confident in owning complex systems, making recommendations, and challenging configuration or behaviour that limits performance or consistency.
- COLOURFUL: Calm, clear and collaborative, bringing confidence and structure to a highly technical space while supporting teams with clarity and positivity.
Our Bill’s Benefits:
- Never a hungry belly - Discounts on the whole menu, with 80% for on shift and 50% for off shift discounts for all employees.
- Access your earnings early – the ability to access your earnings within 24 hours of working your shift if you ever need it.
- Supermarket discounts – take a percentage off your weekly shop with access to discounts at most of the major supermarkets.
- Long Service Awards – Some things are worth celebrating – Long Service is one of them!
- Yearly Bonus based on business goals.
- Career Progression - Bill’s strongly believe in giving all of our employees the opportunities to succeed and progress.
- Monthly Training – we also offer monthly core training sessions to keep you at the top of your game, it’s easy to book on whenever you need.
