The finance department is an integral part of the business, ensuring the agency is profitable and information is prepared in a timely manner. The Global Finance Assistant role is vital to the effective and profitable operation of the agency, and its importance in running an efficient business cannot be underestimated.

As the Global Finance Assistant at BDB, you’ll assist the Global Finance Manager and Global Head of Finance in the day-to-day running of the accounting function for the Global business – raising sales invoices, input and reconciliation of supplier invoices and bank reconciliations. All with the highest attention to detail and accuracy across all processes. You will take full ownership for your tasks and be proactive in identifying smarter ways to work. We are looking for someone to work on a Maternity leave cover contract - 12 months FTC.

WHAT DOES GREAT LOOK LIKE?

  • Daily processing purchase invoices in Xero, ensuring automatic link to Salesforce opportunity has happened
  • Managing Spendesk and all expenses submitted through the platform. Ensuring accuracy and checking VAT receipts
  • Posting of employee Spendesk expenses into Xero, our accounting software
  • Reconciling supplier statements to ensure all costs have been captured before month end close
  • Managing the process and setting up of new suppliers. Ensuring that all due diligence has been completed
  • Raising ad hoc POs when requested
  • Monitor AP email inbox to ensure invoices are posted in a timely manner and respond to and resolve all queries from the wider business & external suppliers
  • Forecasting of weekly payment runs, ensuring that all suppliers are paid on time and that we have the relevant funds in our FX bank accounts
  • Execution of payment runs
  • Sending remittances to suppliers
  • Daily Bank reconciliations
  • Reconciliation of AMEX account, ensuring card holders are up to date with their expense submissions
  • Any other ad hoc duties
  • Raising of clients for IMCompanion business
  • Credit control for IMC

WHAT YOU WILL BRING

  • Minimum 2 years experience
  • IT literate and good understanding of G-Suite
  • Looking to/currently studying towards an accountancy qualification
  • Excellent communication skills, written and verbal, to your internal team and suppliers
  • Exceptional attention to detail
  • Adept at building relationships at all levels
  • High level of organisation with brilliant multi-tasking skills to manage multiple projects and deadlines so we deliver on time
  • Cool and calm when working under pressure along with the ability to anticipate - and solve – problems
  • Ability to produce work to a high standard quickly and professionally
  • Good team player – collaborative but also a good self-starter, able to work independently
  • Ability and confidence to support and educate staff (both within the team, and the wider business) to understand our financial procedures
