About the role
The Operations Coordinator plays a central role in ensuring Bikeworks’ portfolios are delivered smoothly, consistently and to a high standard across London. This is a hands-on, varied coordination role, working across multiple delivery areas. You will support the organisation, scheduling and day-to-day running of activity across all portfolios such as All Ability, Cycle Skills, Cycle Connect, Mechanics & Maintenance and corporate/commercial delivery, shifting focus depending on priorities.
The role involves coordinating bookings and schedules, responding to enquiries, liaising with freelance delivery teams, partners and customers, maintaining systems and records, and providing practical, on-the-ground operational support. You will work closely with Project Managers and the wider Operations team. This role does not include line-management responsibility, but does involve supporting freelance delivery staff through clear coordination, communication and problem-solving.
Previous experience in the cycling or active travel sector is welcome but not essential. Full training and onboarding will be provided.

Key responsibilities
Delivery coordination
- Coordinate bookings, schedules and delivery activity across multiple portfolios
- Manage shared mailboxes and incoming enquiries, ensuring timely, professional and helpful responses
- Liaise with freelance instructors, mechanics and delivery staff to support day-to-day delivery
- Support delivery through preparation of resources, schedules and logistics
- Act as a positive and professional point of contact for participants, partners, funders and customers
- Support relationships with local authorities, schools, community organisations and businesses
- Visit delivery sites as required to provide operational support, team check-ins and stakeholder engagement
Freelance coordination & support
- Coordinate communications, availability and bookings for freelance delivery staff
- Support onboarding processes, scheduling and operational updates
- Ensure freelancers have the information and resources they need to deliver confidently
This role does not include formal line management.
Systems, administration & reporting
- Maintain accurate records across systems, databases and shared folders
- Support delivery reporting, including attendance data and basic financial tracking
- Follow, implement and continuously improve operational processes to support efficiency and consistency
- Contribute to the effective running of Bikeworks’ offices and delivery spaces as part of the wider Operations team.
Communications & team support
- Work with the Communications Lead to support portfolio communications
- Provide delivery-led content, case studies and social impact stories as requested
- Work collaboratively with other Coordinators and Administrators to provide the wider team with office and business admin support
- Carry out other reasonable tasks aligned with the role and organisational needs
About you
Essential skills & experience
- Excellent customer service and interpersonal skills
- Ability to organise, prioritise and manage multiple tasks simultaneously
- Clear and confident verbal communication
- Strong written communication skills in English
- Confidence using Google Workspace (email, documents, spreadsheets and shared drives)
- Experience following processes and procedures, with a willingness to improve them
- Ability to work independently while collaborating as part of a team
