We're an indie board game company based in Clerkenwell. From quiz games to drawing games, TV game shows to mobile apps, we like to turn our hands to all sorts. No matter what the project, we always try to stick to one golden rule: to make sure our games are easy to understand, fun to play and guaranteed to get the party started.
We're on the hunt for a Shipping Manager to join our Operations team. In this role, you'll take the lead in overseeing global stock shipments via sea freight, ensuring that the right products arrive at the right time in the right locations to meet demand. Your responsibilities will include:
- Overseeing Cargo Ready Dates, and coordinating container consolidations, prioritising high-demand products.
- Approving shipping documentation and ensuring it's correct and in the right hands for customs clearance.
- Overseeing the smooth arrival of stock in key markets, including the UK, US, and Germany.
- Communicating stock arrival times across the business and ensuring key stakeholders are informed.
- Managing day-to-day relationships with freight forwarders and production partners in China.
- Working closely with the whole operations team as well as teams across Sales, Finance, and our UK 3PL warehouse; reporting directly to the Head of Operations.
Salary: £36,000 per annum.
What will you be doing?
- Shipping: Working with the Demand Planner to keep abreast of what is being ordered. Manage cargo ready dates, shipment phasing and PO phasing.
- Coordinating Cargo Ready dates with Factories and ensuring changes are kept updated.
- Executing Global Shipping Plans to coordinate container and LCL shipments via Ocean Freight (and Air Freight as required) to the following locations: UK Warehouse, 2 US Warehouses - Los Angeles and Atlanta, US Distributor - Atlanta, German Warehouse, Canada Warehouse.
- Creating and approving Factory Consolidation Plans from Factories as required. Advising if plans conflict with Big Potato Priority shipments or if there is a need to consolidate across factories.
- Ensure the right stock is shipped to the right location pertaining to ship Plans and as dictated by POs.
- Booking Vessels with the Freight Forwarders. Approving shipment costs and timing for worldwide shipping in a timely manner to eliminate dwell time. Tracking final freight costs after delivery.
- Daily upkeep of the shipment tracking system. Logging amendments to Cargo Ready, Sailing and Arrival dates. Tracking dwell time.
- Circulating Restock / Shipment Arrival Dates to the Wider Business and reporting to Key Stakeholders.
- Identify potential risks and disruptions in the supply chain, such as supplier shortages, tariffs or transportation delays, and develop contingency plans to mitigate these risks.
Shipping Documentation: Preparing and approving Shipping Documents as required - Packing List, Commercial Invoices and BOLs.
Inbounds & Arrivals: Adding Preadvice to 3PL Warehouse systems and liaising with warehouse and Freight Forwarders on Inbounding. Organising Air Freight as required.
Inventory Management: Working with the Demand Planner, Retail Operations Manager and Ecommerce Operations Manager to understand current sales and stock levels in order to prioritise shipments. Organising any Cross Border Freight between the US, UK and Germany as required.
Shipping Invoicing Management & Analysis: Processing and approving all shipping invoices to the finance team, filing and logging them correctly on tracking documents. Analyzing shipping data to ensure that Production & Shipping timings are being adhered to and using findings to help build long-term strategies and inform decision making. Measure supplier performance and understand timings by destination. Reviewing final shipping cost per unit by shipment after all additional costs have been received, as well as taking into account duty charges separately.
Shipping Process & Systems Implementation: Work to establish process improvements and automation in the following areas: Shipment Tracking, Inbound Automation for Warehouse Preadvice, Updating Dates, Chasing Suppliers.
Requirements
What is Essential:
- At least 2 years experience working in Operations.
- Experience of working with Warehouses and Stock Management.
- Experience of Working with Inventory Management Systems (e.g SAP Business One, Quickbooks etc).
- Extremely proficient with Microsoft Office (especially Excel) and Google Workspace; very capable with Google Sheets and Excel: basic formulas, XLOOKUPs, Pivot Tables.
- A confident strong communicator who can interact with people in meetings and over email, both internally and externally.
- A flexible approach and the ability to work using your own initiative.
- A high level of organisation with great attention to detail.
- Fast learner with the ability to pick up new systems and processes.
What Is Desirable:
- Highly desirable: Experience of working with/within international freight forwarding companies and the shipping industry.
- Data handling experience with an analysis-driven approach to help make key decisions effectively in a timely manner, build long term strategies and to make recommendations for the future.
- Ability to implement systems with a mindset around building automation and removing manual data entry; experience working with a large product range and understanding rate of sale on key items to identify shipping priorities.
