The Administration Assistant will provide efficient and professional administrative support to ensure the smooth day-to-day operation of the depot and wider business. The role requires strong organisational skills, attention to detail, discretion, and the ability to manage multiple tasks in a fast-paced environment.

Key responsibilities:

  • Receive, manage, and respond to high volumes of internal and external communication, including emails, telephone calls, and written correspondence.
  • Act as a professional first point of contact for visitors, contractors, and colleagues, providing general support and assistance as required.
  • Carry out a full range of administrative duties including data entry, filing (electronic and paper-based), copying, scanning, and document management.
  • Accurately input and maintain payroll data and holiday/absence requests using Dayforce, ensuring a high level of accuracy and minimal errors.
  • Organise, coordinate, and schedule regular depot tasks and appointments (e.g. SIT meetings, union meetings, workforce wheel torquing, inspections, etc.).
  • Coordinate repairs and maintenance of office equipment, liaising with suppliers and contractors as required.
  • Take accurate minutes during meetings and distribute actions and notes within agreed timescales.
  • Monitor and maintain office stock levels, place orders as requested via D365, and support with expense submission and reconciliation to assist with financial oversight.
  • Maintain accurate records, logs, and spreadsheets to support operational and reporting requirements.
  • Support compliance with internal processes and procedures, ensuring documentation is completed and stored correctly.

Essential Criteria:

  • GCSE Mathematics and English Language at Grade C or above (or equivalent).
  • Previous experience in an administrative role.
  • Experience using HR or payroll systems (e.g. Dayforce) and business systems such as D365 would be desirable.
