Purpose of role

To provide practical admin support to procurement and planning, helping keep records, trackers and basic system information accurate and up to date.

Role summary

The Supply Chain Assistant will support the day-to-day administration of the supply chain function, with basic support across procurement and planning. The role is intended to provide reliable admin support, accurate data entry, document control and follow-up support, rather than owning complex purchasing or planning decisions. The successful candidate will feel comfortable and confident in using MS Office and IT systems. Limited use of ERP systems is required, although full training will be provided.

Key responsibilities

  • Maintain simple trackers, spreadsheets and shared files used by the supply chain team.
  • File and save documents in the correct locations, using clear titles and version control.
  • Support with meeting notes, action lists and routine follow-up reminders.
  • Help keep supplier, stock and planning records tidy, accurate and easy to find.
  • Act as additional support and cover during busy periods, holidays or absence.

    Procurement support

  • Assist with raising or updating purchase order information under guidance.
  • Chase supplier confirmations, delivery updates and basic missing paperwork where required.
  • Help maintain supplier documents such as certificates, specifications, price lists and questionnaires.
  • Support the team with checking delivery notes, invoices or order details against system information.

    Planning support

  • Help update basic planning trackers, stock reports and production-related spreadsheets.
  • Assist with simple data checks, such as item codes, quantities, dates and status updates.
  • Support follow-up on outstanding information needed for planning, stock movement or dispatch visibility.
  • Help to maintain records in the ERP system with accuracy.

    Communication and teamwork

  • Liaise professionally with internal teams including procurement, planning, stock control, goods-in and operations.
  • Escalate issues promptly when information is missing, incorrect or urgent.
  • Support a clear handover of open actions at the end of each day or week.

    Skills and experience

Essential

  • Strong administration and data entry skills.
  • Minimum 2 years’ experience of consistently using Microsoft Excel, Word and Outlook.
  • Clear, confident and professional while communicating via phone, email and in person.
  • Good attention to detail and willingness to check information carefully.
  • Ability to apply focus and follow instructions.
  • Organised approach and ability to prioritise routine tasks.

Desirable

  • Experience in food manufacturing or FMCG environment.
  • Experience using Sage, ERP, MRP or stock systems.
  • Experience with notetaking and recording minutes.
  • Basic understanding of purchasing, planning, stock control or goods-in processes.
  • Interest in developing within procurement, planning or supply chain.
  • CIPS or similar supply chain learning would be beneficial but is not essential.

  • Calm and professional approach to dealing with suppliers and internal teams.
  • Accurate with paperwork, numbers and system updates.
  • Ability to adapt to IT systems and process changes.
  • Comfortable asking questions when something is unclear.

Role boundaries

  • This is a support role and does not carry responsibility for final purchasing decisions, supplier negotiation or full production planning ownership.
  • The role holder should escalate concerns, discrepancies or urgent items to the relevant procurement or planning lead.
