About the Role
We are seeking a highly organised and detail-oriented Administrator & Logistics Assistant to support the day-to-day operations of Bid for Wine and Forum Fine Wine. The successful candidate will work across both businesses, supporting a peer-to-peer wine marketplace alongside a fine wine brokering and auction business. This varied role offers exposure to wine trading, logistics, client services, auctions, and e-commerce operations within a fast-paced and specialist sector. The ideal candidate will have previous experience in administration, logistics, wine operations, or a related field, and be comfortable working in a dynamic environment where attention to detail and strong organisational skills are essential. This role would particularly suit someone with 2+ years’ experience in a similar position, ideally within the wine, luxury goods, storage, logistics, or auction sectors.
Key Responsibilities
- Administrative Support
- Maintain accurate records of inventory, consignments, and client information
- Assist with cataloguing wines for auction, including data entry and proofreading
- Prepare invoices, shipping documents, and internal reports
- Arrange delivery of winning lots and merchant orders
- Update and manage stock records using internal inventory systems
- Coordinate incoming and outgoing wine shipments
- Liaise with warehouses, couriers, and clients to ensure timely deliveries and collections
- Track shipments and resolve logistical issues or delays
- Assist with stock control, storage organisation, and condition checks
- Support wine storage and warehouse logistics operations
- Pack and prepare wines securely for shipment and collection
- Organise deliveries and collections with couriers and storage providers
- Assist with the physical handling and movement of wine cases and stock as required (manual handling involved)
- Assist in the preparation and execution of wine auctions (online and/or live)
- Coordinate lotting, labelling, and movement of wines for sale
- Photograph bottles for listings
- Support online sales administration and website stock updates where required
- Respond to client enquiries via email and phone in a professional manner
- Assist with valuations and general client administration
Skills & Experience
Essential
- Minimum 2 years’ experience in an administrative, logistics, or operations role
- Strong organisational skills and exceptional attention to detail
- Good written and verbal communication skills
- Proficiency in Microsoft Office, particularly Excel
- Ability to multitask and work to deadlines in a fast-paced environment
- Proactive, reliable, and professional approach
Desirable
- Previous experience within the wine trade, wine storage, or wine logistics
- Experience using LCB stock management systems or similar inventory management software
- Familiarity with Wine Hub and WooCommerce platforms
- Auction industry knowledge or previous auction experience desirable
- Familiarity with inventory or database systems
- Interest in wine, luxury goods, or the auction industry
