A Legal Coordinator to assist the Legal Team with monitoring national legal issues for the Village. This role acts as a link to the other Village teams and oversees and coordinates administration of the Legal office, working in support of the Legal Director and/or Legal Manager.
KEY RESPONSIBILITIES:
- Assist in researching, reviewing and monitoring changes in national legislation and general legal issues.
- Assist in reviewing and monitoring all legal issues for the Village.
- Assist as requested with drafting legal documents, liaise with parties involved, and prepare the documents required for filing for administrative purposes.
- Coordinate support for the Remerchandising, Retail, Marketing, Operations and Finance Village teams by attending team meetings and coordinating weekly or monthly catch up calls.
- Responsible for legal issues on advertising, contracts, and websites such as competition terms and conditions, protection and use of IP and advising on the use of new supplier forms or bespoke contracts.
- Create and update Village contracts schedule for the Village companies.
- Draft all contracts with regards to Village events, such as photographer licences, entertainment/performer contracts and assist with new supplier forms.
- Draft contractual documentation as requested, such as consultant contracts, employment contracts, longer form bespoke commercial agreements (first drafts).
- Ensure compliance of Brands with contractual obligations under the leases and licences.
- Ensure compliance of third party suppliers with contractual obligations under their agreements with Village.
- Follow up on outstanding post-signature matters with Brands and ensuring receipt of any required statutory declarations, direct debit forms and hard copies of the lease/licence documents.

- Manage applications for administrative applications and legal relationships with public entities (i.e. Land Registry, Cherwell District Council, Companies House, Information Commissioner’s Office, etc.).
- Prepare draft and final contractual documentation in conjunction with the other members of the legal team, signature request forms, circulate documents for signature and receipt back and manage the sign-off procedures.
- Take part in managing legal issues relating to shop fit such as skip licences, container licences and early access letters.
- Assist the other Villages legal teams with commercial and leasing queries.
- Update the brand marketing restrictions database.
- Update the standard documentation and prepare new editions.
- Responsible for registering rent deposits from tenants and licence fee deposits from licensees at Companies House.
- Assist in the creation of tenant compliance processes, follow up, and monitoring.
- Draft correspondence and notices to tenants/licensees.
- Provide local support for any corporate structure issues and act as a link to CLF.
- Assist Administration Manager by keeping her informed of insurable events.
- Create and distribute the Village compliance meeting minutes, organise and prepare the updates for the meeting.
- Ensure consent is received from the Bank to enable new tenants to register their lease with the Land Registry.
- Upload and review content on VRNet of statutory documents e.g. Articles, Memorandum of Association and minutes.
- Monitor trademark and other IP issues for the Village and Brands.
