BLG Head Office – Liverpool (hybrid, with occasional travel to Bury). Some roles sit behind the scenes, quietly keeping everything on track. This one drives things forward. We have a friendly, close‑knit Company Secretarial team at Bibby Line Group, and we’re looking for a proactive, digitally confident governance professional to join us as an Assistant Company Secretary. You may already be working in a Company Secretarial or governance role, or you may be an experienced Executive Assistant with strong Board exposure looking to transition into governance. This is a role for someone who enjoys being at the heart of governance, bringing calm organisation when priorities are moving quickly, working closely with senior stakeholders, and ensuring Board and Committee activity runs smoothly, securely and professionally.

The role

Working alongside the Company Secretary and Deputy Company Secretary, you’ll play a key role in the delivery of effective governance across the Group. You’ll combine strong Board support with hands‑on ownership of digital governance environments. Key responsibilities include:

  • Attending subsidiary Board and Audit & Risk Committee meetings, taking clear, accurate and high‑level minutes and capturing associated actions
  • Drafting agendas, coordinating high‑quality Board packs and managing end‑to‑end meeting logistics
  • Managing the forward‑looking governance calendar, tracking actions and statutory deadlines through to completion
  • Supporting Chairs, Non‑Executive Directors and senior executives to ensure meetings run smoothly and effectively
  • Owning secure digital governance environments, including SharePoint structures, controlled‑access Board papers and Teams channels
  • Supporting colleagues in the effective use of Microsoft 365 tools (including Copilot) to improve quality and efficiency
  • Maintaining the highest standards of confidentiality, information security and professional judgement

You’ll also support wider statutory and governance activity, working with external providers where needed, assisting with filings and records, and helping ensure best practice is embedded across systems and processes. This is a paced, dynamic environment, ideal for someone organised, adaptable and confident operating at Board level.

About you

You’ll bring:

  • Proven experience taking accurate high level and complex Board or Committee minutes
  • Confidence working with senior stakeholders and handling sensitive information with discretion
  • Strong organisational skills and the ability to manage multiple priorities with strong attention to detail
  • Digital confidence, particularly across Microsoft 365 (Teams, SharePoint, Forms, Copilot)
  • A proactive mindset, with an interest in improving processes and ways of working
  • Sound judgement, emotional intelligence and the ability to read situations well

Company Secretarial qualifications or experience with Board portals are welcome but not essential.
