The Bid Manager will be responsible for providing cohesion, administration, coordination, and quality assurance support to the Client Solutions and Business Development teams. They will support ITT's, events, organisation, and administrative requirements to ensure timely and high quality activities for all new business, retention, and marketing strategies across BGIS UK & Europe.
Key Duties & Responsibilities
- Coordinate tender proposals and populate key delivery dates for relevant parties.
- Manage Salesforce for all live ITT opportunities.
- Keep up-to-date all pipeline documentation and the Salesforce portal.
- Populate key tender visits and deadlines in the UK sales calendar.
- Maintain the renewals tracker and populate retention plans as required.
- Populate folder structures in the Solutions drive for new bid opportunities.
- Populate SQ opportunities for review by the Solutions and BD teams.
- Support the Solutions team in the preparation of Tender documentation at RFI, RFP, and presentation stages.
- Act as a BGIS ambassador in all functions for virtual and personal client engagement.
- Work in conjunction with the BDMs, bid writers, and estimators to produce quality Tender and Marketing documentation.
- Engage with both the UK and Global teams as a key support function for all Business Development and Solutions activities.
- Keep the bid library organised and relevant with compelling proposal content.
- Engage with marketing to drive reporting, content, and campaign drives.
Organisation and coordination
- Organising diaries to ensure key proposal timeframes and requirements are met by in alignment with RFX requirements.
- Host bid / no-bid and kick-off meetings for new opportunities.
- Organisation of events including industry events, key meetings, and social events to support pipeline build.
- Manage the solutions drive and ensure the filing structure is kept up-to-date.
- Engage with other key business stakeholders to drive a joined-up approach between Solutions, Operations and all other departments.
Marketing
- Manage social media content and ensure that BGIS are represented well on LinkedIn, our website, and other channels.
- Create marketing documentation including case studies and presentation material.
- Contribute to the creation, and drive deliverables against, the 2026 marketing strategy.
- Effective management of the marketing budget.
Knowledge & Skills
- Good basic education.
- Strong analytical and problem-solving skills.
- Exceptional attention to detail and accuracy.
- Effective communication and interpersonal skills.
- Must have a strong understanding of Microsoft packages (Excel, Word, PowerPoint, MS Project).
- Previous experience in a bid management, marketing, or coordinator role would be beneficial.
