Work Pattern: Mon-Fri, 5 days on site
Purpose of Job: The role supports the Contract Manager in managing the Service Delivery Team at The Crown Estate. Responsibilities include planned and reactive maintenance coordination, issuing permits to work in line with BGIS Safe Systems of Work, and ensuring isolations and integrations follow BGIS and site standards.
Responsibilities:
- Ensure all subcontracted PPMs are scheduled and completed, working with site management on any variations.
- Manage subcontractors, including obtaining RAMS, arranging permits, managing remedial works, and handling documentation.
- Support the supervisor with subcontractor logbooks, ensuring they are populated and reviewed correctly.
- Take meeting minutes, organise meeting rooms, and follow up on action points.
- Provide administrative support for quotes under £1k. Book visits once quotes are approved.
- Manage RiskWise actions and inspections.
- Maintain the Training Matrix and Toolbox Talks.
- Manage the permit and isolations/integrations system, liaising with engineering leads to ensure risks are mitigated.
- Work with the Systems Administrator to develop the CAFM system as site needs evolve.
- Provide performance statistics for PPMs, reactive tasks and remedials.
- Support Elogbooks CAFM development, verifying asset data, aligning planned maintenance requirements, and producing building‑specific maintenance task regimes.
