BFB Labs is a social enterprise bringing together clinical excellence and digital technologies to enable better youth mental health.
We’re looking for a highly organised Operations Manager to join our team for at least three days a week. You will be the engine room of BfB Labs, ensuring that our internal systems, people processes, and compliance frameworks are as robust as the therapeutic evidence behind our products. You will oversee the essential day-to-day functions, from recruitment and HR management to data protection and office culture, enabling our core teams to focus on delivering world-class digital therapeutics, as well as leading the appropriate integration of safe AI into our operations.
Responsibilities:
- People Operations Owner: You’ll lead the full employee lifecycle, from the first job post to the final offboarding interview. This means managing end-to-end recruitment (ads, screening, and interview coordination), but also looking after the team once they are here. You’ll be the hands-on lead for our HR platform (Charlie HR), overseeing holiday allowances and coordinating the performance review cycle. From providing guidance on performance management to handling offboarding with professionalism, you ensure our people processes are seamless and supportive.
- Compliance Guardian: You will take proactive ownership of our clinical and data compliance, managing QMS updates, Data Protection Impact Assessments (DPIAs), and medical device registrations for our existing products as well the new ones we’re bringing to market.
- AI Champion: You will be the internal advocate for responsible AI integration, identifying opportunities to thoughtfully evolve our internal operations and processes by adopting appropriate and safe AI technologies to support our growth and enhance efficiency.
- Governance and Risk Steward: You will lead on annual policy reviews, insurance renegotiations, and essential security certifications like Cyber Essentials.
- Infrastructure and Systems Lead: You’ll oversee IT and hardware, ensuring new starters have what they need and our internal tools are running smoothly.
- Financial Administrator: Support the efficiency of our management accounts by overseeing core financial administration, including the timely reconciliation of receipts, customer invoicing, and purchase order processing.
- Workspace and Culture Advocate: You’ll be responsible for our workspace management in Farringdon, negotiating office contracts, and, most importantly, organising socials and training events that keep our team connected.
We’re looking for someone who is:
- A multitasker: You ideally have experience across HR, Compliance and Administration. You are as comfortable chasing a missing receipt as you are navigating a medical device registration.
- An AI enthusiast: You will be an AI advocate who’s well versed in using it within an organisation, with seamless integration into business operations to enhance efficiency.
- Driven to streamline: You are an "operational architect." You see a messy process and feel a need to streamline it, but you also understand that in a social enterprise, people always come before spreadsheets.
- Agile and resilient: You’re comfortable with the "messiness" of a growing company. We’re building the plane while flying it, and we need you to ensure the flight deck is organised.
- Looking to work part time: You have the right to work in the UK and are able to commit to at least 3 days/22.5 hours per week.

What we offer:
FTE equivalent salary of £48,000 per annum (£28,800 for 3 days a week). Hybrid working with access to our workspace in Farringdon (Central London).
