Reports to: Senior Administrator / Practice Business Manager
Location: Based at Glens of Antrim Medical Centre, with some regular morning cover required in Carnlough (one morning per week).
Hours of Work: Permanent part-time roles, with one post available for 30 hours per week and one post available for 26.5 hours per week, both worked over 4 days.
Glens of Antrim Medical Centre is seeking to recruit two friendly, professional and highly organised Receptionists to join our busy practice team. The successful candidates will play an important role in providing a welcoming and efficient first point of contact for patients, supporting the smooth running of the practice and assisting the clinical and administrative teams.
The ideal candidate will be warm, friendly and approachable and will treat each patient who calls or visits with respect and professionalism. Our new team member will adhere to strict confidentiality policies and have absolute discretion with regards to patients and colleagues. You will be interacting with people from every walk of life so must be a people person with a flair for taking initiative. Your passion for our patients will make your job rewarding. Each day is different, and you will feel supported in your role from all members of our team.
About The Role
Duties will include, but are not limited to:
- Dealing with patient queries and requests by phone or in person, efficiently and accurately.
- Production of prescriptions for patient medications.
- Effective use of the appointment system, booking appointments and processing information (electronic and hard copy) in a timely manner and in accordance with current policies.
- Supporting the clinical team and handling their requests.
- Signpost patients to the correct service.
- A variety of other activities that could be reasonably expected of a medical receptionist.
- Process changes to patient registration, deduction of records and new patient registration.
- Arranges recall of patients for immunisations, screening procedures, health checks, disease management clinics and books appointments for these patients.
- Arrange ambulance transport for patients and records details.
- Conduct system searches, as requested by the Practice Manager and Senior administrators.
- Accurate clinical coding of relevant information into patients' electronic healthcare records.
- Provide support towards the maximisation of both enhanced service and QOF achievements, reporting to the Practice Manager.
- Undertake all mandatory training and induction programmes.
- Sensitive and empathetic in distressing situations.
- Delivering the best service needs flexibility and you will be expected to take up a fair share of covering for your team members, as they will also cover for you so we are able to maintain the levels of service our patients expect.

Required Criteria
- A minimum of 1 years experience of working in a similar service environment gained within the last 5 years.
- Excellent communication skills.
- Proficient in the use of MS Office software, email and the internet.
- The ability to work to deadlines, work in a fast-paced environment with an attention to detail.
- Good interpersonal skills to include a clear and polite telephone manner.
- Ability to work as a team member and autonomously.
- Adhere to the strictest standards of confidentiality.
- 5 GCSEs (or equivalent) Grade C/4 or above to include English Language and Maths.
- Willing to participate in ongoing training and development (Set by SPPG or the practice).
Desired Criteria
- Previous medical receptionist experience.
- Experience of clinical coding.
- Proven history of learning and adhering to policies and processes.
- Experience of working in a health care setting as a medical secretary.
- Experience using the EMIS Web (Optum) clinical system.
