Working over 5 days, working 25 hours per week. To provide an efficient and effective datainput/scanning service for the Practice alongside the two Medical Secretaries in their role. This will ensure the maintenance of thechronic disease registers and additions to them. The Data Clerk will also assist in ensuringthat the practice call and recall system works by ensuringcorrect coding is used within the clinical system. Continuitywill be provided during annual leave for the Medical Secretary and ensure that the secretarial services are maintained.

Main duties of the job

  • Accurately enter all clinical data using Snomed Codes, following practice policy/protocol, into patient medical records.
  • Ensure all documents received by the practice are scanned onto the clinical system in the correct patient medical records.
  • Manage electronic data flows incoming to the practice and within the practice
  • Retrieve and re-file patient records/documents as required, ensuring strict alphabetical order is maintained.
  • To receive incoming and initiate outgoing telephone calls.
  • Provide a first point of contact for Doctors and other members of the Health Care Team with queries relating to data input, scanning and secretarial tasks.
  • To provide an efficient audio, copy typing and word processing service for GPs and Health Professionals as required.
  • Ensure referrals are completed in a timely manner and chase GPs if there is a delay using E-Referral
  • Assist in ensuring the maintenance of the Intermediate Care Register, admission information and discharge summaries
  • To make appointments, bookings and admissions as required.
  • To assist the secretaries to establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
  • To retrieve medical records to provide copies/reports.
  • Assist in the call/recall of patients as required

About us

We are a 10 doctorsuburban training practice with around 15,000 patients. We have a team of 2Advance Nurse Practitioners, 1 Paramedic, 4 Practice Nurses, 2 Health Care Assistants, 1GP Assistant and 2 Clinical Pharmacists. We have efficient management,reception, and admin teams.

The practice runs across two sites: Beaconsfield Primary Care Centre and West Bank Medical Centre.

Job responsibilities

General secretarial and administrative duties including processing referrals, maintaning patients medical records using the emis, docman and e-referral system.
