The Vaccination Assistant will work as part of a dynamic team in delivering a safe and effective service for the mass delivery of vaccinations. The post holder will be responsible for administering the vaccines covered by the protocol to clients and providing a front-line administrative service to the vaccination centre, delivering a high standard of customer care to a wide range of client groups including the multi-disciplinary team, patients, relatives and their carers. The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Main duties of the job

  • The Vaccination Assistant will undertake both routine and specially identified tasks for which the post holder has been trained and assessed as competent.
  • The post holder will play a proactive role in collecting, investigating, verifying and recording a high standard of patient demographic data.
  • Accurately record the vaccination record on the relevant IM&T system in real time to ensure that patient records are accurate and to avoid potential clinical risks inherent with inaccurate patient records.
  • Will undertake effective forward planning to ensure the administrative needs of the service are met and must carry out a range of effective administrative processes to support the delivery of high quality patient care.
  • Will be responsible for prioritising and managing their own workload with minimal supervision.
  • Demonstrate sensitivity, tact and diplomacy where appropriate, for example when acting as first point of contact to distressed or anxious citizens.
  • Confirm the identity of the client and the agreement of undertaking vaccination, addressing and referring any concerns as appropriate.
  • Will ensure that the vaccination is conducted in line with the client's condition.
  • Will administer vaccines into the client's upper arm in accordance with training and local and national protocol, procedures and standards.

Qualifications and Knowledge

  • Educated to NVQ level 3 in a relevant subject or equivalent level of qualification.
  • Able to demonstrate English and Mathematics to GCSE or equivalent level.
  • HCA (NVQ level 3) pathway or willingness to work towards it or equivalent experience.
  • Knowledge of IM&T systems, or other patient administration systems or experience using databases.
  • Strong IT skills in relation to Microsoft Packages including Excel, Word and Outlook.
  • Knowledge of data protection and confidentiality.
  • Understanding of basic medical terminology.
  • Knowledge of Hospital administration systems.
  • Welsh Language Skills are essential levels 1 to 5 in understanding, speaking, reading, and writing in Welsh or willingness to learn Welsh within 2 years of being in post.

Experience

  • Commitment and willingness to undertake learning and development courses as required to ensure competency for role, this will include vaccine training, administration training, basic life support and NHS statutory and mandatory training.
  • Understanding of Confidentiality and Data Protection Act.
  • Experience within a busy working environment dealing with members of the public and colleagues.
  • Experience of providing and receiving information which requires tact or persuasive skills where there are barriers to understanding.
  • Experience of dealing with and diffusing difficult conversations and situations.
  • Experience using Microsoft Office packages and databases.
  • Experience of office and administration procedure.

Decision making and resolving work related issues

  • The post holder would ideally have experience of administering vaccines and providing immunisation advice.
  • Previous administrative experience.
  • Awareness of patient confidentiality.
