An exciting opportunity has arisen to join the Medical Secretarial Team in the Mental Health Directorate on a Permanent basis and to provide effective leadership to the administration team under the supervision of the administration manager. The role involves providing comprehensive, high‑quality medical secretarial and administrative service to the consultant, their medical team, specialist nursing teams and other health professionals, ensuring office organisation and managing workload for the administration team.
Essential to hold relevant qualifications as per the person specifications; previous medical secretarial experience desirable. The post holder must be self‑directed, multi‑task, and maintain patient confidentiality, offering a high standard of customer care. Flexibility to adapt to changing demands is essential. Ability to speak Welsh is desirable.
Main Duties:- Provide effective medical secretarial and administrative support to medical and nursing teams.
- Maintain and organise office operations and monitor workload for the administration team.
- Generate and process urgent and routine correspondence.
- Work independently and as part of a team, exercising discretion, judgement and initiative.
- Ensure patient confidentiality and a high standard of customer care.
- Adapt flexibly to meet service demands.
Qualifications / Experience:
- NVQ Business Administration L4 or equivalent, City & Guilds AMSPAR Level 3 Diploma in Medical Administration, or equivalent medical secretary experience.
- RSA/OCR Level 3 or equivalent typing qualification.
- ECDL or equivalent.
- Management qualification or working towards (desirable).
- NVQ 3 Customer Service (desirable).
Experience:
- Coordinating administration activities.
- Experience as a Medical Secretary.
- Organising workload and people.
- Previous NHS experience (desirable).
Skills:
- Excellent communication skills.
- Advanced typing skills.
