This position is office based and interviews will be face to face. We are seeking a highly organised, motivated and experienced Medical Secretary to join our Acute Paediatric Administrative Team at Glan Clwyd Hospital. This is a key role providing comprehensive secretarial and administrative support to paediatric consultants and the wider clinical team, ensuring the smooth and efficient running of the service. The successful candidate will act as a senior point of contact supporting workflow, maintaining high standards and helping promote a positive patient‑focused service.

Responsibilities

  • Provide high quality secretarial support including audio typing, typing of reports, minute taking, diary management and handling clinical correspondence.
  • Manage consultant clinics proactively – liaising with booking staff, monitoring waiting lists, and supporting efficient RTT pathways.
  • Coordinate consultant diaries with on‑call rotas, meetings, annual leave.
  • Oversee timely preparation, formatting and distribution of clinic letters, results and reports.
  • Support the Administration Manager in training new staff and maintaining consistent standards across the team.
  • Prioritise and manage workload often working to deadlines.
  • Act as a key point of contact for patients, carers, families and external agencies, handling sensitive information with discretion and empathy.
  • Support the team with general administration tasks including filing, scanning and data entry.
  • Support service improvement initiatives and contribute to the development of administrative processes.
  • Ensure compliance with Health Board policies, Information Governance and confidentiality standards.
  • Use NHS systems including WPAS, CITO, IFIT, ESR, WCP and Microsoft Office to manage patient information and administrative workflow.
