We are looking for a highly organised and proactive Secretary to join our Pharmacy & Medicines Management team. The role supports the Director of Pharmacy and a large, fast‑paced team of over 100 staff.
Responsibilities
- Provide high‑level secretarial and administrative support to senior pharmacy leadership
- Act as key point of contact for internal and external stakeholders
- Manage complex diaries, meetings, agendas and minute‑taking
- Coordinate reports, correspondence and presentations using Microsoft Office
- Support recruitment processes, including arranging interviews and onboarding
- Oversee staff records, annual leave and sickness systems (ESR)
- Organise training events, meetings and team activities
- Supervise and support Band 3 administrative staff
- Ensure smooth day‑to‑day running of the pharmacy admin office
Requirements
Essential Criteria
- RSA III/NVQ 3 Qualification or equivalent
- GCSE/GCE at grade C or above including English and Maths
- Diploma in Office administration or demonstrable knowledge and experience to diploma level
- Experience of using Microsoft Office (Word, Excel, PowerPoint)
- Experience providing a comprehensive administrative/PA service at a high level
- Experience setting up and using filing/IT systems
- Ability to work unsupervised and make decisions
- Organisation skills
- Good command of English both written & verbal
Desirable Criteria
- NVQ or equivalent in Administration
- Certificate in supervision or management
- Previous experience as Administrator / PA to an Executive Director or similar
- Previous experience within the NHS
- Ability to produce reports, including graphs and statistics
- Welsh language ability (desired)
