An exciting opportunity has arisen for a Clerical Officer to join the administration team in Holywell Community Hospital. The Clerical Officer will provide efficient clerical assistance to the service. The provision of an efficient clerical service is essential to ensure the speedy triage, booking, treatment and discharge of patients. By the nature of the duties, the Clerical Officer will be required to maintain strict confidentiality, and will be expected to deal with patients and relatives with courtesy and discretion at all times.

Main duties of the job:

  • To receive and respond to telephone enquiries from patients, families, other agencies and Health Board Staff in a professional, helpful and sensitive manner, answer queries within own area of responsibility or refer to the appropriate department.
  • Communicate with GPs; other Health Services and Social Services; Hospitals, Independent and Voluntary Sector, patients and relatives. Dealing with enquiries without the need for direction in a large proportion of queries.
  • Handle emotional and stressful telephone calls, e-mails and correspondence that may sometimes be of an abusive nature; report and seek assistance when necessary.

Person specification:

Qualifications:

  • Essential criteria: GCSE'S C and above in English and Maths or equivalent experience. NVQ Level 2 in Administration or equivalent experience. IT qualification or equivalent level of experience using Microsoft packages. RSA/OCR Level 2 or equivalent experience.
  • Desirable criteria: ECDLAMSPAR-City & Guilds Level 3.

Experience:

  • Essential criteria: Previous experience in a clerical, administration/ reception role. Copy/ Audio typing.
  • Desirable criteria: Experience of working within the NHS.

Skills And Knowledge:

  • Essential criteria: Able to use Word/Excel/ Outlook competently and to manage electronic diaries effectively. Competently, effectively and professionally communicates both verbally and in writing with a range of stakeholders. Excellent organisational skills. Ability to speak Welsh.
