Medical Practice Secretary II – Job_Description_Under_Construction
Job Description:
Under the general supervision of the Practice Manager or Coordinator and in collaboration with the providers, works collaboratively to perform a wide variety of tasks associated with checking in and out of patients, registering patients and scheduling appointments. This administrative role will have a direct impact on patient satisfaction by providing empathetic and efficient interaction with patients and families, and serve as a resource to other front desk colleagues.Promptly answers calls, identifies self and practice, and takes clear messages or routes calls appropriately.
- Registers patients, verifies demographics, collects co-pays and outstanding balances, and updates records.
- Schedules appointments via work queues and recall lists; manages department work queues.
- Ensures completion of patient paperwork and encourages MyChart Portal sign-up.
- Monitors and manages daily schedules to maintain timely patient flow; rounds with patients to provide updates.
- Handles prescription refill requests, urgent calls, and forwards clinical inquiries to appropriate staff.
- Coordinates insurance referrals, authorizations, and assists with billing questions.
- Supports providers and practice manager with administrative tasks and special projects.
- Serves as Epic resource for staff, troubleshooting issues and mentoring new front desk colleagues.
- Maintains smooth front desk operations and supports staff with policies, workflows, and EMR use.
- Upholds safety standards, responds to patient concerns, and helps contain health risks.
- Adheres to organizational policies, confidentiality, and customer service standards.
- Participates in quality improvement, mandatory education, and other duties as assigned.
Minimum Qualifications:
Education:
High school diploma or equivalent. Medical Administrative Office education a plus.
Licensure, Certification & Registration: None
Experience: Three years of medical office experience, of which one year, must be in a Medical Office role at Beth Israel Lahey Health.
Proficient in standard office procedures and operation of business machines (personal computer, scanning, telephone). Excellent customer service and interpersonal skills.
Skills, Knowledge & Abilities: Performing medical scheduling, and with medical software; working experience with medical terminology; appropriate English usage; excellent phone skills. Attention to detail.
