We are looking for a highly organised, proactive, and discreet Personal Assistant to support our Managing Director (MD) at our Park Royal site and assist our General Manager (GM) in keeping our fast‑paced office operations running smoothly.
Role Overview
This is a unique role blending executive-level corporate assistance, private wealth management, and hands‑on operational support. Operating full‑time from our Park Royal office, you will act as the trusted right hand to the MD, managing complex international travel, private financial affairs, and family logistics. Additionally, you will work closely with the General Manager to provide administrative support that ensures seamless day‑to‑day workflow within our wholesale operations environment.
Key Responsibilities
- Private Banking & Finance: Support the MD with personal and business financial affairs, including managing banking transactions and liaising directly with private bankers.
- Asset & Property Tracking: Maintain meticulous, up‑to‑date records of all the MD’s global assets.
- Property Maintenance: Oversee the maintenance of the MD’s property portfolio, organising prompt repairs and managing utility/service contractors.
- International Travel: Coordinate complex, cost‑effective global travel itineraries across multiple time zones (primarily UK, Dubai, and Pakistan), providing detailed option comparisons.
- Immigration & Visas: Manage and accurately complete visa and travel documentation for the MD and his family members.
- Family Administration: Look after the MD’s family and personal needs.
- Confidentiality: Maintain absolute discretion regarding sensitive corporate data, private wealth portfolios, and family documentation.
- Operational Liaison: Work directly alongside the General Manager to provide administrative support, ensuring a smooth workflow within the day‑to‑day operations.
- Cross‑Functional Coordination: Liaise internally with IT, accounts, payroll, HR, and facilities to bridge communication gaps and streamline business workflows.
- Commercial Credit Control: Conduct credit checks on new wholesale customers and liaise with credit companies to manage debt collection and outstanding balances.
- Meetings & Governance: Schedule short‑notice meetings, circulate agendas, take precise minutes, and proactively follow up on action items.
- Data Management: Maintain an impeccable, digital‑first filing system ensuring business and financial information is retrievable at the click of a button.
