A rare opportunity has arisen for an experienced Executive Personal Assistant to support the Founder of a globally recognised architecture practice. This is a prestigious role offering the chance to work at the heart of an international organisation, supporting a highly influential creative leader across a global network of studios. Based in the London office, you will work closely with the Director of Group Operations and Head of Group Communications, while collaborating with teams across international offices in Berlin, Milan, Shanghai and Santiago de Compostela. The successful candidate will be comfortable working five days per week in the London office, managing international communications, coordinating across multiple time zones and providing a highly organised and responsive support function for a Founder who travels extensively.
Responsibilities
- Manage a complex international diary, coordinating meetings across multiple time zones and ensuring priorities are effectively structured.
- Manage international communications with colleagues, stakeholders and teams across global offices.
- Prepare meeting information, background materials and key updates to support effective decision-making.
- Coordinate extensive international travel arrangements, including flights, accommodation, transport, visas and travel documentation.
- Manage correspondence, communications and sensitive information with a high level of discretion.
- Plan schedules and commitments strategically, often several months in advance.
- Work closely with senior stakeholders to ensure seamless coordination across the business.
- Support event planning, invitations, bookings and social commitments.
- Manage RSVPs and maintain awareness of key industry engagements.
- Provide occasional support with personal correspondence and commitments.
Requirements
- Proven experience as a Personal Assistant, Executive Assistant or similar role, ideally within an international, creative or professional services environment.
- Several years’ experience supporting senior individuals in a fast-paced and complex role.
- Comfortable working five days per week in an office-based environment.
- Experience managing international communications and coordinating across multiple time zones.
- Excellent organisational skills with the ability to manage competing priorities and anticipate requirements.
- Strong attention to detail, discretion and confidence handling confidential information.
- Clear, concise communication style with the ability to build trusted relationships.
- A proactive approach with strong judgement and the ability to work effectively within established processes.
