The Events and Experiences (E&E) department is responsible for selling, managing, and operating a successful service delivery of all social, corporate, ticketed and wine education events that take place at Berry Bros. & Rudd. You will provide support to the Head of Events and Experiences ensuring the team successfully sell, plan and manage all social and corporate events taking place at our home at No.3, St James's and with our external clients, creating long term value within the wider BB&R business.

What you will do
- Manage the diary of corporate and internal Events, always considering the budget and resources available.
- Bring customers together through the pleasure of sharing the finest wines and spirits whilst creating links and connections across all divisions to bring the best of BB&R to life.
- Plan and manage events for corporate clients as well as host events, educate, entertain and inspire our customers.
- Provide the highest level of service always, dealing with any challenges, problems or complaints in a polite and professional manner.
- Inspire, lead and manage the Senior Events Executives and Events Executives through experience, mentoring, communication and clear direction.
- Ensure roles and responsibilities of the Senior Events Executives and Events Executive are clear.
- Assist the Head of Events & Experiences in managing the smooth and efficient operation of the Events & Experiences department.
- Support the Experiences side of the department when needed.
- Assist in training and supporting other hosts from across the business.
Administration
- Ensure all Event Orders / Contracts are prepared and distributed accurately and efficiently, and the Event Executives follow suit.
- Work closely with the finance team on a weekly and monthly basis to make sure targets are reached.
- Ensure all private and corporate events are allocated evenly amongst the team, for both organisation and hosting.
- Responsible for proactively owning and managing the 'debtors list', checking all invoicing is completed promptly and any outstanding debt is followed up.
- Responsible for all allocated events from booking to execution.
- Ensure regular liaison with the kitchen, front of house and cellar teams regarding client requests, food quality, customer feedback, bookings, stock levels, wastage, ordering, returns etc.
- Key contact on all GDPR regulations in the department, ensuring all customer accounts are set up correctly and reviewed regularly.
- Consistently provide and offer professional, friendly and engaged service.
Sales
- Achieve the department's budgeted revenue, cost and profit targets whilst conducting the business within the ethos of Berry Bros. & Rudd.
- Always be looking ahead to make sure spaces are being reasonably utilised and we are speaking to clients in good time ahead of events or opportunities.
- Manage the Events diary, ensuring all bookings are accurate and up to date.
- Complete weekly revenue forecast, including commentary on any risks or opportunities, in conjunction with Team Leader Experiences.
- Entertain existing clients and prospective clients as necessary to achieve goodwill and secure business accordingly.
- Meet with clients, to show them around the facilities, prepare quotations accordingly and help finalise arrangements.
- Meet with 'walk-in' appointments and handle incoming phone and email enquiries.
What you will bring to the role
- WSET Level 3 desirable.
- Experience of working in a fast-paced event sales and hosting capacity, especially with high-net-worth individuals and blue-chip corporate customers.
- Proven ability to organise and manage multiple events a week.
- Experience of managing and mentoring team members to deliver excellent service.
