The postholder will be responsible for the processing of dental referrals which are received electronically and in the post. The postholder will work closely with administrative and clinical staff within the Community Dental Service. The postholder will be expected to liaise effectively and professionally with all levels of staff and members of the public and to act as first point of contact for Community Dental Service enquiries. The dental software currently used is Sensei and full training will be provided. The postholder will also provide other administrative support as necessary to the Community Dental Service.

Working time: 37.5 hours per week, 8.30am-5pm, Monday-Friday, Office based role.

Responsibilities

  • Processing all referrals to the CDS: assessment, data input, obtaining additional information, compiling new patient records onto the clinical record systems and forwarding to the relevant Community Dental Clinics in a timely fashion.
  • Processing enquiries, letters and reports.
  • Recording, collating and presenting service activity reports, audits and surveys as required.
  • Handling incoming and outgoing post on a daily basis, ensuring all letters are recorded, processed and/or redirected quickly and efficiently.
  • Responding to mail, telephone calls and emails to the CDS HQ inbox, ensuring accurate recording and transmission of messages, directing enquiries to the appropriate members of staff and undertaking delegated action as necessary.
  • Dealing with all enquiries by telephone in a calm, sympathetic or empathic manner, assisting patients in an understanding manner, especially where there are barriers to understanding such as language, poor hearing or if the caller is distressed or aggressive.
  • Taking responsibility for cascading information throughout the service as required.
  • Undertaking general office duties such as filing, ordering stationery, equipment, printing and other items, photocopying, shredding.

Qualifications & Experience

  • GCSE or equivalent standard of education including English language.
  • IT / keyboard skills including Microsoft Outlook, Windows, Word and Excel.
  • Experience in the use of Microsoft Windows packages.
  • Experience of working with the general public.
  • Previous Health Service / Customer Service background.
  • Good word processing skills.
