The role involves ensuring health & safety compliance, coordinating meetings, and managing day‑to‑day administrative functions:
- Provide day‑to‑day administrative support to the site and project team.
- Act as a first point of contact for visitors, deliveries, and general site enquiries.
- Coordinate site documentation, inductions, compliance records, and related processes.
- Maintain staff rotas, including holidays, training, and attendance records.
- Manage project and site meeting schedules, confirm bookings, attend meetings, take accurate minutes, and issue summaries.
- Prepare, issue, and maintain site forms, trackers, logs, and reports.
- Support subcontractor administration, including documentation, payments, and record tracking.
- Order, monitor, and manage office and welfare supplies.
- Collect, update, and maintain sustainability, utility, headcount, and performance data.
- Provide ad hoc support to the Site Admin Manager, Project Manager, and wider leadership team as required.
- Manage office and meeting room spaces, ensuring they are organised, well‑maintained, and presentable at all times.
Experience required:
- Full UK driving licence with the ability to travel to project sites or head office as required (travel and accommodation costs covered).
- Confident in taking accurate minutes and communicating effectively with managers, directors, and board members.
- Proficient in Microsoft Outlook, Excel, and Word, with strong diary and schedule management skills.
- Highly organised with strong attention to detail.
- Collaborative and able to work effectively as part of a team.
- Flexible and adaptable to changing priorities and tasks.
- Excellent verbal and written communication skills.
- Able to work independently and manage own workload efficiently.
