Shipping ManagerAbout the Role

Berganza is a specialist dealer in antique and period jewellery, working with rare and historically significant pieces from the Georgian, Victorian, Edwardian and Art Deco eras.

We are seeking a highly organised and detail-oriented Shipping Manager to oversee the secure handling, documentation, import, export and movement of our jewellery and gemstone inventory.

This is a central role within the business, requiring discretion, precision and a genuine appreciation for fine antique jewellery. Working closely with the Director and internal team, you will ensure that all items are accurately recorded, securely handled and delivered safely and on time.

You will coordinate domestic and international shipments, prepare customs documentation, arrange couriers and freight services, manage customs clearance, monitor deliveries and resolve any shipping issues. You will also communicate with customers, suppliers and shipping partners, providing timely updates and helping to ensure expected delivery times are met.

Key ResponsibilitiesShipping, Imports and Exports

  • Coordinate all domestic and international shipments of jewellery and gemstones
  • Prepare accurate shipping, import, export and customs documentation
  • Ensure shipments comply with relevant customs regulations and insurance requirements
  • Arrange secure couriers, freight services and specialist transportation
  • Liaise with shipping companies to monitor expected collection and delivery times
  • Track deliveries and maintain clear communication with customers
  • Manage customs clearance and respond promptly to delays or shipping issues
  • Maintain accurate records of all shipments, including tracking and delivery information
  • Ensure high-value items are packed, handled and transported securely

Inventory and Stock Management

  • Maintain accurate and detailed inventory records for all jewellery and gemstones
  • Receive, inspect and record acquisitions from auctions, dealers and private sellers
  • Organise and manage secure storage within stockroom safes
  • Conduct regular stock counts and audits to ensure data integrity
  • Track and document the movement of items between locations, exhibitions, workshops and consignments
  • Ensure all items are correctly labelled, catalogued and recorded
  • Investigate and resolve stock discrepancies in collaboration with internal teams

Jewellery Handling and Preparation

  • Prepare jewellery for photography, exhibitions, restoration, shipping and sale
  • Assist with domestic and international acquisitions
  • Support catalogue production and the presentation of jewellery
  • Handle all pieces with appropriate care, security and discretion

Gemmological and Authenticity Documentation

  • Coordinate laboratory submissions for certification and reports
  • Archive and maintain accurate records of all gemmological reports, authenticity documents and certificates
  • Support the identification, assessment and documentation of gemstones within the collection

Coordination and Communication

  • Liaise professionally with customers, dealers, suppliers, auction houses, couriers and workshops
  • Coordinate consignments, acquisitions and stock transfers
  • Manage correspondence relating to potential purchases
  • Work closely with the Director and internal team to support the smooth movement of stock
  • Provide clear and timely updates regarding shipments, deliveries and stock movements

Skills and Experience

  • Exceptional organisational skills and attention to detail
  • Experience in shipping, logistics, imports, exports or inventory management
  • Experience handling fine jewellery, gemstones or luxury goods is preferred
  • An understanding of antique jewellery construction and manufacturing techniques
  • Experience using inventory systems and stock-management tools
  • Knowledge of customs documentation and international shipping procedures
  • Ability to handle high-value items with care, discretion and professionalism
  • Strong written and verbal communication skills
  • Confidence working with internal teams and external partners
