We are looking to hire a member of our Facilities department in London.

In this role you will be one of a team of three, supporting the client experience within Berenberg's London office.

The reception operates from 07 30 Monday to Friday and the three roles rotate on an 8.5 hour shift basis.

What will you do?

  • Answer, screen and redirect calls in a professional manner.
  • Manage and oversee the booking of 30 meeting rooms.
  • Proactively track changes and update Outlook invites to provide a single source of truth for meeting requirements.
  • Set up client meetings and events, including pre event logistics, furniture changes, diary management, client registration, hospitality arrangements, IT requirements and, where relevant, ad hoc support such as additional housekeeping.
  • Carry out daily meeting room checks to verify furniture placement, IT kit, cabling and controls, and remove outdated presentations from AV screens.
  • Coordinate with hospitality to capture and communicate all catering requirements for business events.
  • Manage security access passes-issuing new, replacement and temporary passes, disabling them when notified by the internal Sailpoint system, and producing a Door Access Audit report for the Head of Office Services quarterly or as required.

Who are we looking for?

  • Experience working in a busy corporate reception.
  • Excellent verbal and written communication skills.
  • Background in a similar role in a corporate environment; experience in financial services preferred.
  • Professional and proactive attitude.
  • Ability to work well within a team.
