Job Role/Description

The Bennie Group are looking for a proactive and organised People Administrator to provide administrative and coordination support to the People & Operations team across the Group.

Working closely with the People & Operations team , you will help ensure that key processes, recordsand activities are delivered consistently and efficiently.

You will support a wide range of administrative tasks across people, training, complianceand operational activities, helping the teammaintainhigh standardsof service across the business.

This role is designed to provide the administrative and coordinator support that enables the wider People & Operations team to focus on strategic, advisory and specialist activities.

The successful candidate willbe responsible formaintainingaccuraterecords, coordinating activities, supporting record keeping requirements andassistingwith the smooth delivery of People & Operations processes.

This is an excellent opportunity for someone who is highly organised, enjoys working with people and takes pride in delivering a high standard of administration.

Previousexperience within HR is not essential.

We are looking for an individual with strong organisational skills, attention to detail, a positiveattitudeand a willingness to learn.

As the Group continues to grow, this role will develop and provide opportunities to gain experience across a broad range of People & Operations activities.

Responsibilities

  • HR Administration
  • Process return to work documentation and update Mentor accordingly.
  • Process holiday amendments andmaintainaccurateleave records within Mentor.
  • Maintain employee records and personnel files, ensuring information isaccurateand up to date.
  • Issue reference requests and employment reference letters.
  • Complete right to work checks andmaintainsupporting documentation.
  • Carry out bi-annual driver licence checks andmaintainaccuraterecords.
  • Monitor probation review dates and issue reminders to managers.
  • Support the administration of the employee lifecycle, including starters, changesand leavers.
  • Learn and support the administration of the leaver process, including system updates, documentationand internal notifications.
  • File People & Operations documentationin accordance withcompany procedures.
  • Training Administration
  • Coordinate training activities across the Group.
  • Maintain training records, matricesand supporting documentation.
  • Liaise with managers, employeesand training providers to arrange training requirements.
  • Book training courses andmaintaintraining schedules.
  • Raise purchase orders relating to training activities whererequired.
  • Monitor training completion and provide reminders whererequired.
  • Maintainaccuratetraining records to support compliance and internal review requirements.
  • Inbox & Query Management
  • Monitor and triage the People & Operations inbox.
  • Respond to routine enquiries and provide guidance on common queries such as holidays, documentationand process questions.
  • Direct enquiries to theappropriate memberof the People & Operations team whererequired.
  • Track outstanding actions and ensure queries are progressedin a timely manner.
  • Maintain records of correspondence and completed actions.
  • System Administration
  • Maintain People & Operations systems and databases.
  • Ensure records are entered accurately andmaintainedin a timely manner.
  • Update training, complianceand employee records across relevant systems.
  • Carry out routine system housekeeping and data checks.
  • Record & Document Management
  • Scan, fileandmaintain People & Operations records.
  • Maintain electronic filing systems and ensure documents are stored correctly.
  • File toolbox talks andmaintainassociated records.
  • Manage incoming and outgoing post and distribute documentation to the relevant individuals.
  • Ensure records are available for audit, complianceand internal review purposes.
  • Strong attention to detail anda high levelof accuracy.
  • Good organisational skills with the ability to manage and prioritise multiple tasks.
  • Confident using computer systems and entering data accurately.
  • Good written and verbal communication skills.
  • Ability to handle confidential and sensitive information appropriately.
  • Positive attitude with a willingness to learn and develop.
  • Reliable, professionaland able to work independently as well as part of a team.
  • Comfortable using Microsoft Outlook for email and diary management.
  • Previousadministration or data entry experience.
  • Experience using business systems such as HR, trainingor operational databases.
  • Experience using Microsoft Word, Exceland Power Point.
  • Experience coordinating activities, bookings, schedulesor documentation.
  • Awareness of HR, training, complianceor administration processes.
  • Experience using systems such as Mentor, Sage200or similar business system
