Role Overview:
We’re excited to introduce a brand-new opportunity for an Office Administrator & Leadership Support Coordinator to join our Southampton team. This is a dynamic, people-focused role at the heart of the Benifex office experience, where you’ll ensure a welcoming, seamless environment for colleagues and visitors alike, you’ll support the day-to-day running of the office, contribute to workplace events, and provide PA support to two members of our Leadership team. No two days will be the same, making this an ideal role for someone who thrives in a fast-paced, varied environment.
Responsibilities:
- Welcome visitors and create a positive, professional onsite experience
- Manage reception duties, including handling calls and visitor access
- Support day‑to‑day office administration tasks and operations
- Manage inbound and outbound post
- Order office supplies, stationery, meals, and general sundries
- Ensure the office environment is well-maintained and running smoothly
- Liaise with contractors, landlords, and external suppliers
- Create and manage office and visitor access passes
- Support CCTV administration and confidential waste processes
- Act as a key holder, including alarm call-outs when required
- Lead office tours for visitors and new starters
- Act as Chief Fire Marshal and Chief First Aider (training provided)
- Support internal events and social activities with the Benifun Committee
- Provide PA support to two Leadership team members, including diary management and meeting coordination
- Arrange travel and accommodation when needed
- Support meeting logistics and provide ad‑hoc administrative assistance
What are we looking for?
- Strong organisational and prioritisation skills, with the ability to manage multiple tasks in a fast‑paced environment
- Excellent communication and relationship‑building skills, with confidence interacting at all levels
- Proactive problem‑solving mindset, able to anticipate needs and take initiative
- High attention to detail and a structured approach to work
- Confidence using Microsoft Office and willingness to learn new systems
- Ability to work independently while also being a collaborative team player
- Warm, approachable, and positive attitude with a focus on creating great experiences
- Trustworthy and discreet, with the ability to handle confidential information professionally
- Dependable and proactive, taking ownership and ensuring tasks are completed to a high standard
