About the Role

The Office Manager / Receptionist is responsible for the smooth, safe, and efficient day-to-day running of the London office, supporting approximately 150 employees and delivering a professional workplace experience for employees, visitors, and contractors.

Acting as the central point of coordination, this role oversees office operations, facilities, suppliers, and workplace services, ensuring a well-maintained, compliant, and productive working environment.

The role also supports employee engagement, wellbeing, and business continuity through the effective management of office activities, health & safety requirements, and workplace initiatives

This a permanent position base in our London office 5 days a week.

Key Responsibilities

  • Office Management & Administration
  • Act as the main point of contact for office
  • Suppliers and service providers, including cleaning, catering, utilities, postal services, maintenance providers, and landlords.
  • Manage the office switchboard, ensuring calls are handled professionally and efficiently.
  • Welcome visitors, contractors, and guests, ensuring adherence to security and visitor management procedures.
  • Coordinate visitor and employee inductions, maintaining accurate records and access permissions.
  • Oversee the presentation, maintenance, and day-to-day operation of the office, including reception, meeting rooms, kitchens, breakout areas, and communal spaces.
  • Manage office space planning, desk allocations, meeting room bookings, occupancy levels, and office moves.
  • Monitor and replenish office supplies, stationery, kitchen consumables, and workplace essentials while maintaining cost-effective purchasing practices.
  • Raise purchase orders, process invoices, and support budget administration activities.
  • Coordinate incoming and outgoing mail, courier deliveries, and package distribution.
  • Support the planning and coordination of internal meetings, events, and employee activities.
  • Maintain office procedures, records, and contact databases.
  • Provide general administrative support across multiple business functions.
  • Facilities, Compliance & Health & Safety
  • Take ownership of office compliance requirements, ensuring all statutory and company obligations are met.
  • Maintain accurate compliance records, documentation, and audit-ready information.
  • Support Health & Safety activities including workplace inspections, risk assessments, DSE assessments, accident reporting, fire safety arrangements, and contractor management.
  • Act as a Health & Safety Champion, supporting first aid provision, fire wardens, emergency evacuation drills, and workplace safety initiatives.
  • Work closely with the Facilities Management team to coordinate maintenance activities and contractor performance.
  • Participate in internal and external audits relating to facilities, compliance, and workplace operations.
  • Support business continuity planning and emergency preparedness arrangements.
  • Drive sustainability initiatives, including recycling programmes, waste management, and environmental objectives.

  • Support employee onboarding and workplace induction activities.
  • Assist with employee engagement, wellbeing, and workplace experience initiatives.
  • Create and maintain a positive, inclusive, and professional office environment for employees, visitors, and contractors.

What You'll Bring

  • Previous experience in an Office Manager, Facilities Coordinator, Reception Manager, Workplace Coordinator, or similar role.
  • Experience managing external suppliers, contractors, and service providers.
  • Front-of-house and visitor management experience.
  • Experience operating a switchboard or handling high volumes of calls.
  • Knowledge of purchase orders, invoicing, and budget administration.
  • Experience supporting multiple teams within a busy office environment.
  • Exposure to Health & Safety and compliance processes would be advantageous.
