A Shift Coordinator is responsible for organising and managing work schedules to ensure every shift is fulfilled with experienced candidates with the right skills. You will efficiently fulfil staffing rotas for our clients, fill gaps at short notice, and keep candidates/managers informed. In health and social care, this directly supports continuity of care, safe staffing levels and provides staffing solutions for our clients requiring support. You will work closely with service managers, bank/agency workers and other coordinators on a daily basis.
Strong communication, solution focused, calm decision-making and the ability to juggle competing demands are essential.
Responsibilities
- Manage and coordinate booking schedules for clients, vendors, and internal teams with precision and timeliness
- Ensure the safe placement of experienced Health and Social Care professionals, in-line with the service user's needs
- Confirm booking to both clients and candidates via phone, email, or online systems, ensuring all details are accurate and complete
- Communicate proactively with clients and team members to resolve scheduling conflicts or changes promptly
- Maintain organised records of all bookings, cancellations, and modifications in designated system
- Assist with preparing necessary documentation or materials related to bookings for smooth fulfilment
- Collaborate with other internal departments to optimise scheduling processes and improve overall efficiency
- Provide exceptional customer service by addressing inquiries related to bookings quickly and professionally
Requirements
- Prior experience working in an office environment or administrative role is highly preferred
- Strong organisational skills with keen attention to detail
- Excellent communication skills, both written and verbal
- Ability to multitask effectively in a fast-paced setting while maintaining accuracy
- Proficiency in using office software such as Microsoft Office Suite or similar tools
- Ability to handle confidential information discreetly and professionally
- A proactive attitude with the ability to anticipate needs and solve problems efficiently
