Job Title: Office Manager
Employment: Part-time permanent
- 20 hours per week
- Monday to Friday 9.00am to 1.00pm
- Responsible to Congregational Committee through the Line Manager
Salary £14,392 per annum (based on PCI Admin Staff Scales)
Job Description
(1) To liaise with the Minister, Youth and Family Ministry Coordinator, Clerk of Session, Principle Office Bearers of Congregational Committee and, as appropriate, with Ancillary Staff
(2) To provide reception services and be first point of contact for members of the Congregation, the Minister, Kirk Session, Congregational Committee, external suppliers & contractors and the general public
(3) To ensure the smooth running of the Church office with regard to record and data management (including using the Omega and Church Suite systems), and to maintain records both manual and computerised in an accurate and timely way and in accordance with Church policies and procedures
(4) To assist in the development of Church policies in line with current GDPR regulations
(5) To oversee general office administration including the management and updating of policy documents, certificates (e.g. IT) and licences to ensure all information is up-to- date and relevant; to liaise with contractors and service providers
(6) To provide a high quality administrative service for Kirk Session, Congregational Committee and the Minister
(7) To support the Minister by procuring such resources as are required for the use of the Ministry Team and associated groups
(8) To manage and author the Churchs digital communications via website, social media pages and Mailchimp Weekly Round Up email
(9) To produce information reports by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting data using Microsoft Office
(10) To provide administrative support for all in house groups and in house events including programme cards, publicity materials and tickets
(11) To support the Finance Team as is appropriate and to secure the resources necessary for the smooth running of the Church Office and administrative
facilities
(12) To ensure good communications with all who use the church premises; to facilitate and process new applications for usage of same
(13) To adhere to Health and Safety and Child Protection Guidelines by attending PCI training courses.
(14) To deal with such other administrative duties as may be determined by the Line Manager from time to time
(15) To attend meetings of the Congregational Committee and serve as Minutes Secretary
Person Specification
Essential Criteria
- GCSE passes or equivalent in five subjects (Grades A C), including English Language and Maths
- Recent experience working in an office environment within the last five years
- Competent use of common software applications such as Microsoft Office
- Ability to manage, process and maintain confidential information in a secure environment
- Ability to manage multiple tasks
- Good organisational skills with the ability to work to targets and deadlines
- Ability to work as part of a team and have good communication skills
- Commitment to working within the Christian ethos of the Presbyterian Church
Desirable Criteria
- Qualification in Business Studies and / or Administration
- ICT or Computer Skills qualification
- Experience in website management
- Experience with GDPR and Access NI procedures
- Ability to manage web-based communication systems (eg MailChimp)
- Ability to administer database systems including Omega and Church Suite
