Belmond is seeking a highly organised, proactive and commercially minded Executive Assistant & Project Manager to support the Senior Vice President, Global Human Resources and the Senior Vice President, Strategy & Transformation.

This is a hybrid role that combines high-level executive support with project coordination, business planning and operational delivery.

Working as a trusted partner to both SVPs, you will help ensure the smooth running of their day-to-day activities while coordinating strategic initiatives, driving follow-up on key actions and supporting the effective delivery of team priorities.

While the role will help enable the wider HR and Strategy & Transformation teams through clear coordination, communication and follow-up, its primary focus remains the effective support of the two SVPs and the priorities they sponsor.

Success in this role will be measured by your ability to anticipate needs, maintain excellent executive support, and ensure the successful coordination and delivery of key business initiatives.

You will be a trusted partner to both SVPs, enabling them to focus on strategic priorities while ensuring that projects, commitments and day-to-day operations run seamlessly.

  • CORE RESPONSIBILITIES
  • Project Management & Business Support (approximately 60%)

Coordinate selected strategic projects and cross-functional initiatives on behalf of the SVPs, ensuring priorities, owners, timelines and next steps are clear.

  • Prepare high-quality presentations, reports, briefing notes and decision materials, drawing together input from multiple stakeholders.
  • Support the business cadence for HR and Strategy & Transformation, including leadership meetings, agendas, minutes, action tracking and follow-up.
  • Help coordinate annual planning, business reviews, leadership forums, team offsites, and other key moments in the business calendar.
  • Liaise across Global Teams and the wider business, ensuring information flows clearly and actions move forward.
  • Identify practical opportunities to improve ways of working, simplify processes, and increase team effectiveness.
  • Support internal communications, team updates and executive presentations, ensuring materials are clear, polished, and aligned with Belmond’s tone.
  • Handle sensitive and confidential information with professionalism, discretion and sound judgement.
  • Executive Support (approximately 40%)
  • Manage complex calendars for both SVPs, balancing competing priorities, protecting focus time and ensuring appropriate preparation for key meetings.
  • Coordinate domestic and international travel, itineraries and logistics with accuracy and attention to each leader’s working style.
  • Prepare and submit expense reports, purchase orders and other administrative processes accurately and on time.
  • Organise leadership meetings, team offsites and events, including logistics, materials, and follow-up actions.
  • Manage meeting logistics, ensuring the right people, information and materials are in place.
  • Provide thoughtful day-to-day administrative support, anticipating needs and helping both SVPs operate with pace, clarity and calmness.

Requirements

  • Significant experience supporting senior executives in a fast-paced, international environment.
  • Experience coordinating projects and working with multiple stakeholders.
  • Excellent organisational skills with the ability to manage competing priorities.
  • Strong written and verbal communication skills, with experience preparing presentations and executive materials.
  • Proactive, adaptable and solutions-oriented, with excellent attention to detail.
  • Strong interpersonal skills and the ability to build effective working relationships at all levels.
  • High levels of professionalism, discretion and sound judgement.
  • Advanced proficiency in Microsoft Office (Power Point, Outlook, Word and Excel).
  • Confident using AI tools such as Microsoft Copilot to improve productivity, prepare high-quality content and support day-to-day work.
