The Role

The HR System & Process Manager plays a pivotal role in ensuring that the HR Information System (HRIS) effectively supports the delivery of HR, payroll, and expenses processes across the business. This role is responsible for the ongoing management, maintenance, and enhancement of the HRIS, driving continuous improvement in system functionality, user experience, and data integrity.

The postholder will take a lead role in the implementation of all future system enhancements, ensuring they are aligned with business needs and deliver measurable value. Acting as a key liaison between HR, IT, and external vendors, the HR System & Process Manager ensures that the system is well-supported and delivers a seamless experience for all users.

This role\\\’s salary will be up to £50,000 + £5,750 Car Allowance

Principle Accountabilities

  • Work with the project team to support the design, development and implementation of a new HRIS which supports the efficient and effective delivery of the HR business processes.
  • Define and deliver a programme of HRIS enhancements, including the regular upgrades and the transition to new modules (e.g. Learning, Talent Optimisation etc).
  • Define and operate an appropriate test programme for effective system and user testing of all upgrades, enhancements and integrations.
  • Define and implement business change communications for users, as new enhancements and new features are introduced.
  • Drive the adoption of new processes and systems through the delivery of effective communication and training programmes.
  • Develop and maintain training materials for the HRIS and deliver training courses.
  • Upskill the wider HR team on the HRIS system and new HR processes.
  • Maintain the processes and workflows operated by the HRIS as changes to the organisation and business processes take place.
  • Implement processes to maintain the quality, integrity and accuracy of HR data, ensuring complete compliance with Group security policies.
  • Develop and maintain a suite of HR operational and management reports to provide regular reporting on HR metrics and dashboards for stakeholders.
  • Analyse data to inform decision making – supporting the annual reward cycle, survey data analytics, pay gap reporting etc.
  • Manage all aspects of user access, role profiles and access to sensitive personnel information, ensuring that data management is fully compliant with GDPR regulation.
  • Manage external vendor relationships including commercial, contractual and ongoing support arrangements.
  • Working with Group IT, define, implement and manage appropriate support processes, including those required to support integrations of the HRIS with other systems.
  • Collaborate closely with HR Advisors/Business Partner, Payroll, Recruitment, Learning and Organisational Development, and other teams to capture and define new system requirements.

Experience

  • Experience of working in a similar role and experience implementing or migrating to a new HRIS.
  • Expert knowledge of HRIS.
  • Expert knowledge of HR operations and processes, and how they can be implemented by an HRIS.
  • Good knowledge of process mapping techniques.
  • Good knowledge of data management techniques and reporting technologies.
  • Working knowledge of project management processes (certifications would be an advantage).
  • Proven experience managing and optimising HRIS’s (experience of Workday would be a distinct advantage).

Qualifications and training

  • Working knowledge of GDPR and data protection requirements.

Skills and aptitude

  • Strong analytical and problem-solving skills.
  • Strong stakeholder management and communication skills.
  • Advanced Microsoft Excel, Powerpoint and, preferably, Power BI skills.
  • Ability to quickly develop a good understanding of new requirements.
  • Customer focussed and able to build effective relationships throughout the business.
  • Deadline focussed and willing to go the extra mile to ensure compromises are not taken in achieving deadlines.
  • Methodical with a strong attention to detail and a passion for accuracy.
  • Enthusiastic and good team player.
  • Committed to diversity and inclusion.

Working Conditions

  • Travel to divisions around the country and spend periods during the week away from home during the implementation process.
  • Office-based role.
  • Core hours, with one day working from home.
  • Please note this role is subject to a basic DBS and pre-employment checks.
  • Salary up to £50,000 + £5,750 Car Allowance
