Bellway Home Space manufacturing facility is looking to recruit an Office Manager and PA to support the Senior Management Team within our state‑of‑the‑art timber frame manufacturing facility in Sutton‑in‑Ashfield. This is a pivotal role offering the opportunity to play a key part in supporting senior leadership and contributing to the smooth running and continued development of a modern manufacturing facility.

The Role

  • Act as first point of contact when dealing with correspondence and telephone calls, ensuring urgent messages are actioned immediately.
  • Provide secretarial support to the Senior Management Team, including diary management and organising meetings.
  • Take minutes, type notes, present in a professional format and follow up with action trackers.
  • Provide administrative support to Production Managers, including handling operational documentation, running inductions, providing induction equipment, procurement and IT support.
  • Support with Human Resources administration, including recruitment and induction process, maintaining attendance records, holiday and sickness, supporting probationary reviews as well as disciplinaries and grievances.
  • Manage the TMS Time and Attendance System.
  • Maintain efficient filing and archive systems.
  • Organise staff training.
  • Liaise with Office Managers at Group and other Divisions.
  • Order new computers, stationery, office refreshments, mobile phones for Staff.
  • Book Fire Risk Assessments, PAT testing, etc.
  • Ensure compliance with signage across the building (HSE), coordinate HSE actions.
  • Liaise with external companies as well as Bellway divisions to arrange visits and factory tours.
  • Welcome visitors and set up meeting rooms.
  • Ensure lobby, reception and kitchen areas are maintained.
  • Ensure a good standard of housekeeping, keep noticeboards and all displayed certifications up to date.
  • Co‑ordinate travel and accommodation arrangements.
  • Attend H&S meetings as office representative (taking minutes).
  • Organise office functions and ad‑hoc charitable or fund‑raising events within the company.

Experience

  • Experience of working in a secretarial/PA role supporting Director level roles.

Qualifications And Training

  • GCSE Maths and English - Grade 4/C or above (or equivalent).

Skills And Aptitude

  • Excellent administration and organisation skills.
  • Creating, updating, enforcing and maintaining office wide processes.
  • Strong communication and listening skills.
  • Ability to prioritise workload and meet tight deadlines.
  • Demonstrates a high level of discretion and confidentiality.
  • Ability to work independently as well as part of a team.
  • Proficient IT skills, with a good working knowledge of Microsoft Office (Word, Excel and Outlook) and the ability to adapt to new systems.

The Role and Working Conditions
