Role Overview
As a Service Delivery Co-ordinator, you’ll play a key role in keeping service delivery running smoothly by providing day-to-day administrative and operational support.
You’ll monitor job progress, maintain accurate records, liaise with engineers and suppliers, coordinate scheduling and purchase orders, and proactively chase actions through to completion.
Working closely with the Service Delivery Manager, you’ll take ownership of issues, support reporting requirements and help resolve escalations quickly, keeping clients informed and ensuring a consistently high standard of service.
Key Responsibilities
- Monitor job queues and proactively track jobs from initial instruction through to completion.
- Maintain accurate and up-to-date job records, ensuring progress, actions and relevant information are correctly captured within internal systems.
- Liaise regularly with engineers and suppliers to obtain updates, chase outstanding actions and ensure agreed timescales are met.
- Coordinate the rebooking and rescheduling of jobs when required, communicating changes clearly to the relevant parties.
- Raise purchase orders and process job-related updates accurately and in line with established processes and procedures.
- Work closely with the Service Delivery Manager to identify and resolve service issues and escalations quickly and effectively.
- Take ownership of critical jobs, including situations involving loss of trade or critical asset failure, progressing them through to satisfactory completion.
- Keep clients informed of progress on escalated or critical jobs, providing clear and timely updates until normal service or trade is resumed.
- Support management information and reporting requirements by ensuring accurate information is available when required.
- Prioritise competing workloads effectively, identifying when an issue requires escalation and taking appropriate action.
Skills & Experience
- Previous experience within a coordination, scheduling, administration or similar service-focused role.
- Customer service experience with an understanding of the importance of delivering a positive and professional customer experience.
- Strong written and verbal communication skills, with confidence communicating by telephone and email.
- Comfortable using systems and maintaining accurate electronic records.
- Excellent organisational skills with the ability to manage multiple tasks and changing priorities.
- Strong attention to detail and a commitment to completing work accurately.
- A proactive, results-focused approach with the tenacity to chase outstanding actions and drive jobs towards completion.
- Ability to follow established processes and procedures consistently.
- Good judgement, with the ability to recognise when an issue needs to be escalated.
- A collaborative approach and the ability to work effectively as part of a wider service delivery team.
