We are seeking a proactive and detail-oriented Business Support Officer to join our growing team. This role is pivotal in supporting the operational rhythm of our business, ensuring smooth internal coordination and contributing to the delivery of exceptional service to our clients.

You will work closely with the Operations Director, providing high-level administrative and coordination support across Sales, Professional Services, Support, and Customer Success Management.

Leadership & Executive Support
  • Act as a key point of contact and trusted liaison for the Operations Director, managing communications, priorities, and scheduling across multiple workstreams.
  • Prepare briefing materials, agendas, and follow-up notes for leadership meetings, steering groups, and strategic reviews.
  • Manage confidential information appropriately and professionally.
Core Responsibilities
  • Provide administrative support to the Operations Director and the wider Customer Success Operations leadership team, including meeting coordination, minute-taking, and follow-up actions.
  • Prepare correspondence, reports, and internal communications.
  • Organise and maintain shared documentation, calendars, and knowledge hubs.
  • Coordinate internal team activities and events.
Operational Support
  • Maintain and update operational trackers and dashboards.
  • Support onboarding logistics, induction planning, and offboarding processes.
  • Help implement and maintain internal processes, templates, and tools.
  • Liaise with cross-functional teams to ensure smooth information flow.
  • Support internal audit and compliance processes by coordinating documentation and responses across teams.
Communication & Collaboration
  • Draft and edit internal communications.
  • Assist with the development of customer-facing materials and knowledge base content.
  • Support the preparation of renewal proposals.
  • Maintain a forward view of leadership team commitments, proactively flagging conflicts, dependencies, and opportunities for alignment.
Skills & experience
  • Strong proficiency in Microsoft Word, Excel, and Outlook.
  • Excellent organisational and multitasking skills.
  • Fluent English with outstanding written and verbal communication.
  • Familiarity with HubSpot or similar CRM tools (desirable).
  • Experience using collaboration tools such as Microsoft Teams and SharePoint.
  • Familiarity with diary management tools (e.g. Outlook) and virtual collaboration platforms.
  • Proven experience supporting senior leadership in a fast-paced, matrixed environment.
  • Experience handling confidential HR or business information.
