Your role as an Assistant Facilities Manager involves overseeing safety, maintenance, and ensuring compliance with regulations at the property. You will recommend and coordinate improvements to maintain a safe, functional, and appealing environment. You will be part of the site’s management team alongside the Asset Manager, Property Manager, and Service Delivery Manager. Due to the site’s prominence, the Assistant Building Manager should be comfortable presenting to high-level clients and occupiers.

As an Assistant Facilities Manager, you will:
- Maintain a safe environment with proper lighting, signage, and disability access
- Foster a high-performance culture within the on-site team
- Drive occupier engagement through events and initiatives
- Organize events with the front of house team and engage with local schools and charities
- Use onsite IEQ and BMS software to monitor comfort, air quality, and energy usage
- Draft and update emergency plans and evacuation procedures
- Oversee security, fire prevention, and safety systems
- Schedule regular maintenance and cleaning services, ensuring high standards
- Support sustainability initiatives and Net Zero ambitions
- Coordinate fabric repairs with professionals
- Ensure utilities are functioning properly for occupants
- Monitor budgets via Concerto software
- Plan building improvements using Asset Operating Plans and suggest further enhancements
- Oversee contractors and inspect completed work using Safe Systems of Work
- Supervise grounds staff and promote positive behaviors
- Hire and manage contractors for maintenance and improvements
- Provide training and evaluate employee performance
- Schedule contractors and staff to match building needs
- Resolve tenant complaints and requests through clear communication and meetings
- Assist with emergency responses and evacuations
- Maintain compliance records using appropriate software
- Inspect the building regularly for damages or wear
- Conduct H&S audits and risk assessments on contractors
- Manage visitor reception and provide local area knowledge
- Monitor expenditure and reconcile service charges
