The role provides comprehensive financial and administrative support across the business, with a primary focus on managing and maintaining robust financial processes through to the trial balance. Working closely with the Business Support Manager, Senior Leadership, and the Finance team, the post-holder will play a key role in ensuring accurate financial control, project oversight, and effective month-end processes, while also supporting wider office operations and internal coordination. What does the role involve?
Financial Operations:
- Support and manage the business unit's finance function through to the trial balance.
- Manage financial administration, including raising and reconciling invoices and purchase orders, supporting accruals, and maintaining accurate project forecasts.
- Review and approve staff expense claims in line with company policies.
- Complete regular bank reconciliations.
- Carry out credit control activities, including issuing statements, debt collection, and liaising with operational teams to resolve queries and secure timely payments.
- Support month-end close processes and provide financial oversight of projects in collaboration with Project Managers and the Finance team.
- Maintain and update project data within CMAP (or equivalent systems), including budgets, milestones, and profitability tracking.
Business Support and Administration:
- Schedule and coordinate meetings, including board meetings, leadership sessions, and client reviews; prepare agendas, take minutes, and track follow-up actions.
- Diary Management along with travel bookings and provide support with expense submissions and other logistical requirements.
- Develop, document, and improve internal operational processes to enhance efficiency, accuracy, and compliance.
- Maintain a working knowledge of the Business Support Manager's responsibilities to provide effective cover when required.
- Undertake any additional duties appropriate to the role, skills, and experience to support business objectives and contractual requirements.
What does it take?
- Proven experience in Executive Support and Finance operations.
- Experience using MS Office (Word, Excel, Outlook), SharePoint, and Teams.
- High attention to detail and strong numerical skills.
- Strong communication skills (written and verbal).
- Comfortable handling sensitive information and interacting with senior stakeholders.
- Qualification in Finance and Business Administration.
- Experience using project or finance platforms (e.g., CMAP, Access, Xero).
- Experience with Time and Expense billing.
- Familiarity with project management processes and organisational dynamics.
- Understanding of compliance procedures and office logistics.

Working arrangements:
