We manage comprehensive FM service delivery that includes contractor management, system administration for Concord system, invoicing, reporting, and project coordination.

Responsibilities

  • Act as the initial focal point of contact between the Client, Contractors and Bellrock to ensure effective communication between all parties is maintained at all times.
  • Own and manage the Asset Sustainability Plan / Operational Plan with the Technical manager and update actions on Deepki system.
  • Engage with bespoke software solutions to improve comfort, energy usage and maintenance spend across assets.
  • Encourage regular feedback from building occupiers and visitors via QR code NPS surveys and lead engagement on Vizta platform.
  • Attend meetings with the client in relation to projects, health and safety and monthly service review meetings as required.
  • Manage reactive and planned works via the Concerto system. Arrange and ensure routine and planned maintenance tasks are carried out on time and in accordance with the Contract.
  • Ensure authorisation is in place for any additional costs and that all records are accurate for invoicing.
  • Complete invoices and financial reconciliation accurately and timely.
  • Liaise with Contractors to ensure the works are carried out in line with contract performance requirements.
  • Undertake inspections, maintaining required records alongside TBPE (Independent technical co‑ordinator).
  • Review and inspect work for quality, accuracy and completeness.
  • Provide support for Projects & fit‑outs where required.
  • Interact with various accounts/projects departments to resolve service delivery issues.
  • Assist in the preparation of budgets with Property Management team, providing data as necessary.
  • Complete QVRs with the Property Management team.
  • Assist in the production of monthly client reports.
  • Conduct regular site audits, record findings and manage actions through to completion.
  • Maintain Track Record and take responsibility of outstanding actions until completed alongside technical manager.
  • Write and/or draft correspondence, reports and other documents.
  • Maintain the statutory accident book and report any such entries to Bellrock’s Health and Safety Department.
  • Assist in maintaining ISO 14001 and all other environmental obligations.
  • Ensure Health and Safety regulations are fully observed.
  • Implement and support social impact initiatives.
  • Implement events, pop‑ups and occupier engagement.

Qualifications

  • Positive attitude and drive to ‘do the right thing’.
  • Knowledge and working practices within delivery of total FM contracts.
  • Good knowledge of hard services with technical problem-solving experience.
  • Experience managing fit‑outs and coordinating multiple stakeholders.
  • Passion to resolve challenges and improve service delivery.
  • Experience delivering Soft and Hard Services in a similar environment.
  • Understanding of technology or willingness to learn new systems.
  • FM project experience.
  • Understanding the importance of client relationships within an environment of change.
  • Awareness of delivering a sustainable and socially aware building and team.
  • Ability to communicate at various levels both internally and externally with multiple stakeholders.
  • Ability to articulate difficult or complex information succinctly.
  • Flexible and adaptable to different situations, aware of impact on others.
  • Health and Safety qualification.
  • Ability to adapt to different needs in different environments.
  • Administrative support ability.
  • Drafting and updating emergency plans and evacuation procedures.
  • Ensuring occupants are provided with proper working utilities.
  • Supervising grounds staff and nurturing behaviours.
  • Providing training for building employees as needed.
  • Resolving complaints, problems, and requests from building tenants through clear communication and occupier meetings.
  • Assisting with emergency response and evacuations.
  • Inspecting the building frequently for signs of damage or wear.
  • Conducting H&S audits and risk assessments on contractors.
  • Considering all visitors and local knowledge of surrounding areas.

Desirable

  • Experience in long-term costing/fabric management.

Working arrangements

We embrace smarter working practices that allow employees to work their hours flexibly and remotely where their roles and business needs allow. In this role, the successful candidate would be required to work from Piccadilly Gardens, Manchester, M1 1RG on site from Monday to Friday 08:30‑17:30.
