To co‑ordinate and organise FM service delivery ensuring work is carried out to a high standard, manage contractors and the Concerto system, provide contract variation quotations, invoicing, and produce reports.

Responsibilities:

  • Act as the initial focal point of contact between the client, contractors and Bellrock to ensure effective communication between all parties is maintained at all times.
  • Own and manage the Asset Sustainability Plan / Operational Plan with the technical manager and update actions on the Deepki system.
  • Engage with bespoke software solutions to improve comfort, energy usage and maintenance spend across assets.
  • Utilise onsite IEQ’s and BMS software to proactively monitor comfort, air quality and energy usage.
  • Encourage regular feedback from building occupiers and visitors via QR code NPS surveys and lead engagement on the Vizta platform.
  • Attend meetings with the client in relation to projects, health and safety and monthly service review meetings as required.
  • Manage reactive and planned works via the Concerto system; arrange and ensure routine and planned maintenance tasks are carried out on time and in accordance with the contract, obtain authorisation for any additional costs, and keep accurate records for invoicing.
  • Complete invoices and financial reconciliation accurately and in a timely manner.
  • Liaise with contractors to ensure that works are carried out in line with contracts, meet performance requirements, undertake necessary inspections and maintain required records alongside TBPE (independent technical co‑ordinator).
  • Review and/or inspect work for quality, accuracy and completeness.
  • Provide support for projects where required.
  • Interact with various accounts/projects departments to resolve issues relating to service delivery.
  • Assist in the preparation of budgets with the Property Management team, providing data as necessary.
  • Complete QVRs with the Property Management team.
  • Assist in the production of monthly client reports.
  • Carry out regular site audits, record findings and manage actions through to completion.
  • Maintain track record and take responsibility for outstanding actions until completed alongside the technical manager.
  • Write or draft correspondence, reports and other documents.
  • Maintain the statutory accident book and report any entries to Bellrock’s Health and Safety Department.
  • Assist in maintaining ISO 14001 and all other environmental obligations.
  • Ensure health and safety regulations are fully observed.
  • Implement and support social impact initiatives.
  • Implement events, pop‑ups and occupier engagement.

  • Resolving complaints, problems and requests from building tenants through clear communication and occupier meetings.
  • Assisting with emergency response and evacuations.
  • Inspecting the building frequently for signs of damage or wear.
  • Conducting H&S audits and risk assessments on contractors.
  • Concierge of all visitors and local knowledge of surrounding areas.

Working arrangements:
