Part Time Meet & Greet Receptionist needed at Bell Equine! We are looking for a warm, professional, and highly organised Meet & Greet Receptionist to join our busy Equine Hospital. This is a key front of house role where you will be the first point of contact for our clients, providing a friendly welcome and ensuring a smooth, efficient admission process for horses arriving at the hospital.
About the Role
- Hours: 20 hours per week
- Working Pattern: Monday-Friday, 8:00am-12:00pm
- Location: To be based at our Hospital in Maidstone, Kent
As our Meet & Greet Receptionist, you will be responsible for delivering an exceptional client experience while supporting the clinical team with essential administrative tasks.
Key Responsibilities
- Client Welcome & Admissions
- Provide a warm, friendly and knowledgeable welcome to clients arriving onsite.
- Manage the meet and greet area and be the main point of contact for all arrivals.
- Complete admission paperwork accurately and efficiently.
- Take payments or deposits for procedures where required.
- Communicate clearly with the nursing team to hand over admissions and ensure all paperwork corresponds correctly with each patient.
- Documentation & Coordination
- Ensure consent forms and estimates are correct, complete, and ready for signing with the attending vet or nurse.
- Check PMS messages and the reception inbox regularly, ensuring all messages are actioned promptly.
- Frank and prepare outgoing post daily.
- Medication & Follow Up
- Check prescription collection boxes and follow up with clients regarding uncollected medication.
- Make outbound calls to chase, update, or schedule follow ups where required from prescription collection.
- General Administrative Support
- Assist with additional administrative tasks during quieter periods between client arrivals.
- Maintain a tidy, welcoming reception environment.
About You
We are looking for someone who is:
- Friendly, confident, and client focused, especially face to face
- Highly organised, with strong attention to detail
- Comfortable handling sensitive clinical paperwork and payments
- Able to communicate clearly with both clients and clinical staff
- Calm under pressure in a fast paced hospital environment
- Experienced in customer service (veterinary experience ideal but not essential)
