We have an exciting opportunity for a Personal Assistant to join our service. As a Personal Assistant, you will play a crucial role in ensuring the smooth operations of our administrative processes.

Key Responsibilities:
  • Supporting with outlook diary appointments, arranging meetings, and organising worker supervisions.
  • Uploading work onto social care software.
  • Supporting with recording on social care software.
  • Provide efficient and effective business process and document production which may include complex minute taking, room bookings, scanning & uploading documents, and customer services support to internal and external customers.
  • Typing case supervisions and personal supervisions.
  • Retrieving and inputting information from case management systems, SharePoint, HR systems and excel spreadsheets.

Please note this is not an exhaustive list and is an Access to Work funded post to provide high-level administrative support to an Assistant Service Manager with their recording responsibilities.

Requirements:
  • Applicants will need to possess a minimum of 5 GCSEs (including English and Maths) or an equivalent qualification and have proven experience in a similar administrative role.
  • They should have excellent communication, organisation, and time management skills, be motivated to work under pressure and in a confidential manner.
  • Applicants must be familiar with using IT systems such as Outlook, Word, Excel, and PowerPoint.
  • Personal Assistants are required to be flexible in terms of area of work and location and need to be able to adapt to changing priorities and deadlines.
  • They may be required to prioritise their own workload, as well as meet deadlines.
  • They should have experience of working in a busy office environment with a good understanding of office processes and procedures, strong problem‑solving and decision‑making abilities.

If you are appointed to this role, your starting salary will be at the bottom of the grade. If you provide payslip evidence that your basic pay is greater than the bottom of the grade, we will consider starting you at the point of minimum advantage within the grade. Equality of pay is extremely important to us. All roles at Sheffield City Council are going through an evaluation process which may result in changes to some pay arrangements from 2026.
