Job Title: Executive Assistant / Receptionist (12-Month Contract)

Location: Canary Wharf, London (Office-Based, 5 Days/Week)

Contract Type: Full-Time, Fixed-Term (12 Months) 9:00am – 5:30pm

Begbies Traynor is seeking a highly organised, professional, and proactive Executive Assistant / Receptionist for a 12-month fixed-term contract to support senior leadership and the wider London team. This is a hybrid role, combining Executive Assistant duties with reception and office administration cover during receptionist absences (e.g. holidays or lunch breaks).

The successful candidate will play a key role in ensuring smooth day-to-day office operations while providing high-level support to a senior leadership team. This is an excellent opportunity for a detail-oriented individual who thrives in a fast-paced professional environment and can switch seamlessly between executive support and front-of-house responsibilities.

Responsibilities

  • Complex calendar and diary management for Partners
  • Scheduling and coordinating meetings, appointments, and conference calls
  • Booking national and international travel, accommodation, and logistics
  • Preparing reports, documents, presentations, and correspondence
  • Handling confidential and sensitive information with discretion
  • Liaising with internal teams and external clients on behalf of the Partners
  • Supporting special projects and ad hoc administrative tasks as required

Reception & Office Administration Duties (covering absences/holidays)

  • Managing reception duties: answering and directing calls, taking messages
  • Monitoring and actioning emails in the London Reception inbox
  • Booking meeting rooms and managing Outlook calendars
  • Arranging for visitors, engineers, and suppliers
  • Meeting room set-up, clear-down, and refreshment coordination
  • Ordering stationery, kitchen supplies, and lunches for meetings
  • Managing courier bookings and coordinating loading bay access
  • Handling incoming/outgoing post and document scanning/photocopying
  • Maintaining office tidiness and ensuring meeting rooms and kitchens are stocked
  • Supporting mailouts, filing, and archiving processes

Skills & Experience

  • Previous experience in an Executive Assistant, Receptionist, Office Assistant, or similar role
  • Excellent communication and interpersonal skills
  • Strong organisational and multitasking abilities
  • Comfortable working in a front-of-house/reception capacity as needed
  • Professional and polished telephone and in-person manner
  • High level of confidentiality, discretion, and reliability
  • Able to work independently and proactively in a busy office environment
