We have a fantastic opportunity for a Junior Project Manager to join us at our unique Head Office in Renfrew which includes our state-of-the-art gym with weekly circuit training, a personal trainer and yoga classes as well as the Beeks Bar or weekly masseuse to help you unwind!
Role Purpose
The Junior Project Manager supports the successful end-to-end delivery of work orders across the Beeks estate, working under the guidance of the Head of Projects and experienced project managers.
Acting as a coordination and documentation hub between Sales, Engineering, Procurement, Finance and customers, the role keeps delivery moving β maintaining accurate records, capturing meeting minutes and actions, keeping project packs current, and providing responsive, professional customer contact throughout provisioning and onboarding.
This is a development role.
The successful candidate will build core project management skills through a structured six-month programme, progressing from supporting delivery to independently owning standard service orders β all while helping to protect delivery timelines, data accuracy and customer satisfaction.
Key Responsibilities
- Service Order Coordination & Delivery Support
- Support the end-to-end lifecycle of service orders under guidance, keeping each order progressing accurately and on schedule.
- Triage incoming project tickets in Jira, confirm they are complete before they reach engineers, and return incomplete tickets with clear guidance on what is missing.
- Raise installation tickets and coordinate with Smart Hands / Data Centre teams, supporting pre-deployment readiness checks.
- Track order status so it is always current and visible, and support post-deployment validation before orders are marked complete.
- Documentation, Minutes & Project Packs
- Take clear, accurate minutes at meetings and service reviews; capturing decisions, owners and deadlines, and circulate action logs promptly.
- Maintain and update project packs so status, actions, risks and key documents remain an accurate single source of truth.
- Keep asset and configuration records complete and audit-ready in the relevant platforms (e. g. Nautobot).
- Apply documentation and change-management standards consistently.
- Resource & Capacity Coordination
- Support resource planning , helping coordinate engineers, Smart Hands, hardware and schedules across concurrent work so nothing collides.
- Help maintain accurate capacity data and flag utilisation issues to the Head of Projects.
- Build awareness of forward capacity needs against the sales pipeline.
- Scope & Requirements Support
- Help translate customer requirements into a clear Statement of Work with defined acceptance criteria.
- Develop a firm understanding of scope of work, what a customer has actually bought versus what they assume, and flag potential scope creep early.
- Procurement & Licensing Support
- Help translate deployment requirements into procurement requests, specifying quantities, deadlines and delivery addresses.
- Quality-check inbound shipments against purchase orders and elevate discrepancies that risk installation timelines.
- Track software and platform licensing, supporting timely renewals to avoid service risk.
- Customer & Stakeholder Engagement
- Provide responsive, professional customer contact throughout provisioning and onboarding, representing Beeks well at all times.
- Excel at customer engagement, keep customers informed, manage expectations, and grow into a trusted point of contact.
- Keep Sales, Finance and internal stakeholders updated on order status and any risks, with enough notice for them to act.
- Support regular service-review touchpoints and maintain a single source of truth on status.
- Commercial & Financial Awareness
- Develop commercial acumen, understanding how delivery decisions affect billing, revenue recognition and profitability.
- Notify Finance promptly on deployment completion and validate billing details against the work order.
- Support deployment spend tracking and flag budget variances or scope changes.
- Continuous Improvement & Development
- Engage fully with the structured six-month development programme; actively seek feedback and act on it.
- Identify recurring operational snags and suggest practical improvements.
- Contribute to runbooks and playbooks as knowledge and confidence build.
Skills & Experience
Essential
- Highly organised with strong attention to detail; able to manage several priorities at once without losing accuracy.
- Excellent written and verbal communication, and a confident, professional manner with customers.
- Strong minute-taking, note-taking and documentation skills.
- Comfortable with Jira (or a similar ticketing / ITSM tool) and Microsoft Office, particularly Excel for tracking and reporting.
- Proactive, reliable and calm under pressure; genuinely keen to learn and act on feedback.
- A clear interest in building a career in project management.
Desirable
- Awareness of IT infrastructure, server / network or data centre concepts.
- Some exposure to project management principles or methodologies (e. g. Agile, PRINCE2).
- Familiarity with asset management or inventory tooling (e. g. Nautobot).
- Understanding of ITIL-aligned service delivery and change management.
- Basic commercial awareness β how delivery affects billing and revenue recognition.
Qualifications
- ITIL Foundation, PRINCE2 Foundation or Comp TIA Project+ desirable; training supported where not already held.
