We are looking for an enthusiastic, friendly, caring and confident individual to join a dynamic and hardworking team. This individual also needs to have excellent communication skills and a strong work ethic. We are a small team who goes above and beyond what is expected. This role is to help and support patients both face to face and over the phone for a wide range of enquiries including triaging patients to ensure the most appropriate pathway of care is offered. You will be the initial point of contact between the patient and the wider team. Our team members need to be approachable, friendly, confident, understanding and will help patients feel at ease and listened to, whilst remaining professional and courteous at all times. We work with a patient centred approach and have a high standard of patient care at all times.

Main duties of the job:

  • Dealing with enquiries both face to face and over the phone
  • Ensuring patients are directed to the most appropriate healthcare professional
  • Booking appointments and re-arranging where appropriate
  • Logging attendances of patients
  • Maintaining and monitoring the practice appointments system
  • Taking messages and distributing the information to the appropriate person(s)
  • Responding to requests from patients, team members and other healthcare providers
  • Processing repeat prescriptions in accordance with practice guidelines
  • Data entry/data allocation, collation, processing and recording information in accordance with practice procedures
  • Registration of new patients
  • Filing, photocopying and scanning of documents
  • Tidying and restocking of the consulting rooms and reception area
  • Keeping the reception area, notice-boards and leaflet dispensers tidy
  • Providing refreshments for the team and visitors
  • Keeping the kitchen area clean and tidy
  • Opening up/locking up of practice premises and maintaining security in accordance with practice protocols

Job responsibilities:

  • Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient, friendly and empathetic way.
  • Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies.
  • Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or over the telephone.

Qualifications:

  • GCSE grade A to C in English and Maths
  • NVQ in Customer Service or Administration

Experience:

  • Experience of working within a team
  • Pleasant and professional manner
  • Ability to adapt and multi-task
  • Experience of Microsoft Office packages
  • Able to work flexibly between 7:45am-6:30pm
  • Experience of working within a GP practice reception or other primary care organisation
  • Practical experience of EMIS Web or other medical computerised recording system
