We are seeking a highly organised and motivated Safeguarding Administrator to join our supportive and forward-thinking practice team for 10 hours per week.

This is a great opportunity for an experienced administrator with knowledge of primary care and safeguarding processes to play a key role in supporting the practice's safeguarding responsibilities, cancer care coordination, and clinical administration functions.

The successful candidate will work closely with the Safeguarding Lead, GPs, Health Visitors and the wider multidisciplinary team to ensure safeguarding information is managed effectively and that patients receive safe, coordinated care.

Key responsibilities include maintaining safeguarding records and registers, supporting Health Visitor liaison meetings, taking and distributing meeting minutes, managing safeguarding discussion lists for children under four years of age, processing MASH requests, coordinating cancer care reviews, and completing a range of clinical administrative tasks and medical reports.

Main duties of the job

The successful candidate will provide high-quality safeguarding and clinical administrative support as part of our practice team.

The role will include

  • Supporting the practice safeguarding lead with the administration of child and adult safeguarding processes.
  • Maintaining safeguarding registers, spreadsheets and clinical records.
  • Processing safeguarding information received via Docman and managing safeguarding workflows.
  • Reviewing and processing Child Not Brought notifications in accordance with practice procedures.
  • Attending Health Visitor liaison meetings with GP, preparing agendas, taking minutes and monitoring agreed actions.
  • Maintaining safeguarding discussion lists for children under four years of age.
  • Coordinating and responding to MASH information requests within required timescales.
  • Supporting cancer care coordination, including maintaining the Cancer Register and arranging cancer care reviews.
  • Preparing medical reports and completing a range of clinical administrative tasks.
  • Working closely with GPs, clinicians, Health Visitors and the wider multidisciplinary team.
  • Ensuring patient information is managed accurately, confidentially and in line with NHS information governance requirements.
  • Supporting practice audits, quality improvement initiatives and service development activities.

The successful candidate will support safeguarding and cancer care processes, working closely with the Safeguarding Lead, GPs, Health Visitors and the wider multidisciplinary team to help deliver safe, coordinated care for patients and families.

The practice is based in modern premises close to Bristol city centre, with excellent public transport links and easy access to Temple Meads railway station.

  • Clinical Administration

Complete enhanced medical record processing.

Prepare GP reports and respond to requests from external organisations.

Process and coordinate Multi-Agency Safeguarding Hub information requests, ensuring responses are prepared and returned within required timescales following GP review and authorisation.

Complete Universal Credit medical responses.

Prepare travel insurance reports.

Prepare life insurance reports.

Complete Criminal Injuries Compensation Authority reports.

Process SR1 forms promptly and accurately.

Undertake other clinical administrative duties as delegated by GPs.

Safeguarding

Code and process safeguarding information received via Docman.

Complete Think Family reviews and update household/family records.

Maintain safeguarding registers and update safeguarding spreadsheets.

Review safeguarding tasks generated by GPs and clinicians.

Assess Child Not Brought notifications and action.

With guidance select safeguarding cases for quarterly safeguarding meetings.

Liaise with practice leads regarding safeguarding agenda items for practice meetings.

Attend Health Visitor liaison meetings with GP and provide administrative support.

Take accurate minutes and maintain records of discussions, actions and outcomes.

Maintain and update the safeguarding discussion list for children under 4 years of age.

Monitor agreed actions arising from safeguarding liaison meetings and *escalate* outstanding actions to the Safeguarding Lead as appropriate.

Cancer Care Coordination

Maintain and update the Cancer Care Register.

Identify patients requiring cancer care reviews.

Arrange invitations for cancer care reviews at approximately 3 months and 12 months following diagnosis.

Maintain accurate records of cancer care reviews and outcomes within the clinical system.

Select suitable cancer cases for clinical staff meetings.

Liaise with the cancer lead regarding meeting discussions and learning.

Care Coordination

Work collaboratively with GPs, care coordinators, administrators and the multidisciplinary team.

Monitor clinical tasks and ensure timely completion.

Coordinate patient pathways where required.

Escalate concerns to clinicians appropriately.

Maintain accurate patient records in accordance with practice policies.

Information Governance

Ensure confidentiality is maintained at all times.

Process sensitive patient information in accordance with GDPR, NHS guidance and practice policies.

Quality Improvement

Support practice audits relating to safeguarding, cancer care and clinical administration.

Assist in maintaining practice registers.

Contribute to continuous service improvement.

Participate in staff meetings, safeguarding reviews and significant event discussions.

General Responsibilities
