Your Mission: The Warehouse Administrator is responsible for providing efficient administrative support to the warehouse function, ensuring the accurate receipt, storage and dispatch of goods through the maintenance of inventory records, shipping documentation and business systems. Working closely with the Warehouse Manager and cross-functional teams, the role supports stock control, order fulfilment and logistics activities while ensuring compliance with company procedures, quality standards and regulatory requirements. The Warehouse Administrator contributes to the smooth day-to-day operation of the warehouse through strong organisational skills, attention to detail and a proactive approach to supporting Bedfont Scientific's operational and customer service objectives.
Roles and Responsibilities:
- Process all warehouse administration accurately and in a timely manner.
- Receive and process deliveries.
- Prepare and complete shipping documentation for UK and international customer orders.
- Maintain accurate stock and inventory records, investigating and resolving discrepancies where required.
- Support the receipt, storage, picking, packing and dispatch of products and materials.
- Coordinate courier collections and liaise with freight providers to ensure timely deliveries.
- Produce labels, delivery notes, invoices and other warehouse documentation.
- Maintain accurate records in line with company procedures and quality management system requirements.
- Assist with stock counts and annual inventory activities.
- Monitor stock levels and raise replenishment requests where appropriate.
- Liaise with internal departments, including Production, Customer Services, Purchasing and Finance, to ensure efficient order fulfilment.
- Respond to internal and external queries relating to warehouse orders, deliveries and stock.
- Ensure all warehouse documentation is completed accurately and retained in accordance with company procedures.
- Support compliance with ISO 13485, company policies and applicable regulatory requirements.
- Maintain high standards of housekeeping and organisation within the warehouse office and storage areas.
- Identify opportunities to improve warehouse administration processes and efficiency.
- Assist with the onboarding and training of new warehouse team members where required.
- Support the Warehouse Manager with reporting and administrative tasks.
- Comply with all Health & Safety policies, safe working practices and PPE requirements.
Qualifications:
- NVQ Level 2 or Level 3 in Business Administration, Warehousing and Storage, Supply Chain or Logistics (or equivalent experience or qualification).
- Qualification in Business Administration or Supply Chain Management preferred.
- Training or certification in inventory management, warehouse operations or logistics preferred.
- Health & Safety training (e.g. Manual Handling, IOSH Working Safely) is advantageous.
Valuable Expertise: Essential Skills
- Previous experience in a warehouse administration, logistics or supply chain role.
- Excellent organisational and time management skills with the ability to prioritise workloads.
- High level of accuracy and strong attention to detail.
- Strong IT skills, including Microsoft Office (particularly Excel, Outlook and Word).
- Experience using ERP, MRP or warehouse management systems.
- Excellent written and verbal communication skills.
- Ability to work effectively both independently and as part of a team.
- Strong problem-solving and analytical skills.
- Ability to maintain accurate records and documentation.
- Customer-focused with a professional and proactive approach.
- Ability to work under pressure and meet deadlines.
- Understanding of stock control and inventory management principles.

- Experience with international shipping, customs documentation and export processes.
- Experience supporting continuous improvement initiatives.
- Knowledge of courier management systems and freight booking platforms.
- Understanding of import/export regulations.
- First Aid, Fire Warden or Health & Safety training.
- Experience producing warehouse reports and analysing inventory data.
