We are looking for a committed and flexible Admissions Assistant to support the efficient and effective running of Admissions at Bedales Senior, Prep and Pre-prep. Bedales Admissions aims to provide a bespoke, personalised service where people have a positive experience and feel well-treated. This is a people-facing role where the successful candidate will support the management of applicant families in the admissions process. An attention to detail, accurate management of data and excellent people skills are essential.

Experience & Background

The postholder will demonstrate sound judgement, initiative and a professional, people centred approach. Strong communication skills, empathy, accuracy and the ability to manage multiple priorities are essential. The Admissions Assistant will work across the full age range — Pre-prep, Prep and Senior — and collaborate closely with colleagues across the Whole School. The postholder will be experienced working with an Admissions or customer relationship management database. Experience in a similar role within an education setting is desirable.

Responsibilities

  • Take ownership of maintaining high quality data within OpenApply, ensuring all prospective parent, student and agency information is accurate, complete and up to date.
  • Proactively identify gaps in admissions data and liaise with families, schools and agencies to secure missing information at appropriate stages of the admissions cycle.
  • Cross-check and reconcile data between OpenApply and iSAMS, resolving inconsistencies and ensuring data integrity across systems.
  • Record and update student information from phone enquiries and other channels, ensuring timely and accurate data capture.
  • Contribute to the ongoing development of admissions processes, recommending improvements to enhance efficiency and the experience of prospective families.
  • Act as a key point of contact for prospective parents and students, providing a warm, informed and professional service throughout their admissions journey.
  • Respond to general enquiries by telephone and email, ensuring timely, accurate and helpful communication.
  • Support the delivery of personalised visit experiences, tours and other admissions touchpoints.
  • Produce and circulate the weekly admissions diary, coordinating tour guides with School Reception and ensuring all visits are accurately recorded in OpenApply.
  • Support the planning and delivery of admissions events across the Whole School, including open days, taster days, assessments, induction events and other key activities (including some Saturdays).
  • Collaborate with marketing and admissions colleagues to ensure promotional materials and event resources are prepared, available and presented to a high standard.
  • Assist in the successful organisation of Admissions assessments across the Whole School in liaison with the Data & Assessments Manager; invigilate assessments as required.
  • Manage student files to ensure all relevant information is available for staff conducting assessments.
  • Liaise with prospective parents and students as required, responding to general enquiries by telephone and email in liaison with admissions colleagues.
  • Support the preparation and distribution of admissions correspondence, including newcomer materials, handbooks and welcome information for new students.
  • Maintain clear, well-structured electronic filing systems and contribute to the department's progress toward a paperless office.
  • Ensure all documentation and communications reflect the school's tone, values and commitment to exceptional service.
  • Stand in for Admissions colleagues as required, demonstrating flexibility and a collaborative approach.

Hours, Salary and Benefits

The post is full-time in term time plus the equivalent of 6 weeks non-term time. Alternative/flexible work arrangements including job shares can be discussed at interview. Occasional Saturday working is required with time off in lieu offered. Salary: total £26,068 per annum pro rata, calculated on actual hours worked and inclusive of holiday pay. Full-time equivalent salary: £29,106.

Pre-Appointment Checks

All candidates will undergo a Safeguarding Suitability Interview and application for an Enhanced DBS and Barred List check and be asked to provide evidence they are eligible to work in the UK, on an ongoing basis, at the shortlist stage of the selection process.

The post is exempt from the Rehabilitation of Offenders Act 1974 and the School is therefore permitted to ask job candidates to declare all convictions and cautions (including those which are "spent" unless they are "protected" under the DBS filtering rules) in order to assess their suitability to work with children.
