Job Summary: Bechtel is seeking an experienced Paralegal/Legal Assistant for its in-house Legal department in London. The Paralegal/Legal Assistant will provide support to attorneys in the Litigation Claims and Labor Employment Groups in the Corporate Legal department. Working as a member of the legal department, this individual will provide support for a wide range of litigation, claims, labor and employment matters. This position is designated as part-time telework (Work from Home) per our global telework policy and may require at least three days of in-person attendance per week at the assigned office or project. Weekly in-person schedules will be determined by the individual and their supervisor, in consultation with functional or project leadership.
Major Responsibilities:
- Support for a wide range of litigation, claims, and labor and employment matters, including:
- Working with in-house counsel, internal departments, and, as needed, outside counsel to manage the timely response to subpoenas, discovery, data subject access requests and other requests for information.
- Conduct document reviews using electronic document review tools such as Viewpoint and Relativity, with attention to items such as responsiveness, privilege, and personal information.
- Tracking, organizing and filing of legal documents, legal advice, presentations and correspondence.
- Working with attorneys on the drafting of retainer agreements for counsel, experts, and consultants.
- Conducting internal searches for paper and electronic records, and coordinating and communicating with records managers to identify records potentially responsive to discovery.
- Working with attorneys to draft legal hold notices; issuing legal hold notices through software tool; responding to questions regarding legal holds; and drafting and issuing of notices releasing legal holds through software tool.
- Management of litigation costs including preparation, management, updating, and reporting on matter budgets; review and processing of invoices with close attention to terms of retainer and established budgets; and communications with legal services providers regarding budget, costs, and invoicing.
- Review of records scheduled for destruction at the end of their required business retention period for compliance with internal processes.
- Communication with external counsel, vendors, and others regarding legal matters.
- Assistance with initiatives set by the Legal Department.
- Maintaining, searching, entering data into, and creating reports from internal databases and other tracking tools used by the Litigation Claims and Labor Employment groups.
- Accepting, tracking, reviewing and distributing legal documents received via service of process.
- Other duties as assigned.
Education and Experience Requirements: Requires bachelor's degree (or international equivalent) and relevant experience.
Required Knowledge and Skills:
- Strong technical skills including proficiency in Excel, MS Word, SharePoint and PowerPoint.
- Strong organizational skills and close attention to detail.
- Ability to handle confidential information and communications in a secure manner.
- Excellent written and verbal communication skills, including ability to work well within a team.
- Ability to deal with multiple assignments, to prioritise, and to progress assignments without constant oversight.
Preferred Qualifications:
- Minimum of 10 years’ experience in a law firm or corporate legal department.
- Experience with litigation, claims, and/or labor and employment legal matters.
- Experience with cost tracking, forecasting, and budget management, particularly in the legal and/or engineering and construction industries.
- Facility with legal related applications and tools, including: Document review tools such as Viewpoint and Relativity; Legal hold software applications, such as Mitratech Legal Hold; Invoice processing applications, such as SimpleLegal; Service of process applications and providers; Document management systems, such as iManage.
- Experience accessing, managing, querying, and updating databases.
- Experience in the engineering and construction or related business fields.
